We're seeking an Administrative Operations Coordinator to provide crucial administrative support and operational coordination across our teams and initiatives. This role will combine daily administrative management with operational improvements to ensure our creative teams can function at their best. You will serve the broader organization by maintaining systems, improving workflows, and handling essential administrative tasks that keep our creative ecosystem running smoothly.
Coordinate meeting scheduling, room bookings, and general team calendar management
Maintain office organization, supplies, and equipment functionality
Process expense reports, receipts, and basic financial documentation
Create and distribute team meeting agendas and minutes
Assist with travel arrangements and event logistics for team activities
Document and standardize recurring administrative processes
Identify opportunities to improve administrative efficiency
Create templates and systems for common team needs
Maintain organized digital and physical filing systems
Support onboarding and offboarding procedures for team members
Serve as a central coordination point for cross-team scheduling and communication
Maintain team contact lists, organizational charts, and resource directories
Assist with coordination between our US headquarters and international teams
Organize team events, celebrations, and culture-building activities
Facilitate information sharing across departments and teams
Create and maintain project documentation templates and repositories
Track project deliverables, deadlines, and dependencies
Prepare materials for project meetings and reviews
Assist with data collection and basic reporting for team initiatives
Support project managers with administrative needs across various initiatives
2-3 years of administrative or operational support experience
Experience in creative industries, tech startups, or cultural organizations preferred
Background supporting teams rather than exclusively supporting executives
Familiarity with office management and administrative coordination
Experience implementing or improving administrative processes
Exceptional organizational abilities with strong attention to detail
Proficiency with productivity tools (Google Workspace, Microsoft Office)
Working knowledge of project management and team coordination tools (Asana, Notion, etc.)
Excellent written and verbal communication
Ability to prioritize tasks across multiple teams and projects
Problem-solving skills with an eye for administrative efficiency
Basic understanding of operational workflows and process documentation
Proactive and service-oriented mindset
Adaptability in a dynamic, creative environment
Discretion when handling confidential information
