Texas Health Action (THA) is a community-informed non-profit organization dedicated to providing access to culturally affirming, quality health services in a safe and supportive environment, with expertise in serving LGBTQIA+ people and those impacted by HIV. THA is seeking a Grants Coordinator to organize the administrative, planning, and reporting activities necessary to successfully administer various grants awarded to the organization. This role involves preparing required grant documentation and reports, monitoring performance activities, and tracking departmental grant performance. The Grant Specialist will ensure grants are administered in accordance with applicable laws, regulations, and policies. Additionally, they will provide guidance on grant compliance and help build staff capacity and knowledge in grants management. This is a full-time, non-exempt position requiring 40 hours per week.

Essential Duties:

  • Ensures program activities comply with all grant requirements, including performance, and reporting obligations across multiple teams such as Outreach and Testing, Patient Support Services, Finance, and Clinic Operations.
  • Maintains accurate program records across various databases, including Take Charge Texas (TCT), Provide, and Partner Grants.
  • Tracks and monitors budgets within Ryan White service categories providing direct financial assistance.
  • Compiles and analyzes data and statistics as directed by the Director of Patient Support Services.
  • Coordinates the timely completion and submission of required reports.
  • Supports the development, maintenance, monitoring, and tracking of various grant-funded programs.
  • Manages multi-departmental grant-funded projects, ensuring stakeholders are accountable for required deliverables and reports.
  • Prepares and submits detailed, accurate reports to grant funding agencies in compliance with established deadlines.
  • Provides specialized administrative and staff support services.
  • Attends, records minutes, and provides logistical support for Community Advisory Board meetings.
  • Schedules and coordinates cross-departmental meetings.
  • Ensures staff remain current on all grant-required training.

Compensation:

Based on job duties and requirements, this position has an hourly range of $22.00 - $27.00 per hour. Initial placement will be based on hired candidate's qualifications and relevant experience.

Education and/or Licensure – High School diploma or GED required.  Bachelor’s degree or equivalent work preferred ; may substitute relevant experience for education.

Experience:

  • Grants Management Experience: 2-4 years of professional experience managing grants, ensuring compliance, and supporting program goals, preferably in a nonprofit or healthcare setting.
  • Funding Oversight: Experience managing grant processes, including applications, tracking expenditures, and ensuring alignment with funding requirements such as Ryan White, HRSA, or similar programs.
  • Data and Financial Tools Proficiency: Skilled in using grant management databases and financial tracking systems such as Take Charge Texas (TCT), Provide, Partner Grants, or equivalent tools.
  • Budget and Reporting Skills: Ability to support budget tracking, expenditure monitoring, and assist with timely and accurate grant reporting.
  • Project Coordination: Proven track record in coordinating multi-departmental projects, ensuring cross-functional collaboration, and meeting grant deliverables.
  • Sector-Specific Expertise: Experience working within healthcare, social services, or mission-driven organizations focused on community-based initiatives.
  • Training and Support: Ability to conduct staff training, enhance team capacity, and provide technical assistance in grants compliance and management.

Additional Requirements – Bilingual (English/Spanish) a plus.

  • Technical Proficiency: Strong PC skills, including experience working with the Windows Operating System and proficiency in Microsoft Office Suite, particularly Excel.
  • Attention to Detail: Exceptional accuracy and thoroughness in managing data, reporting, and administrative tasks.
  • Confidentiality & Compliance: Understanding of confidentiality requirements, including strict adherence to HIPAA standards and organizational policies.
  • Interpersonal & Communication Skills: Ability to demonstrate diplomacy, tact, and cultural sensitivity when interacting with diverse individuals and teams. Strong customer service orientation and interpersonal communication skills.
  • Verbal & Written Communication: Excellent communication skills in English, both verbal and written. Additional language proficiency is highly desirable.
  • Relationship Management: Ability to engage effectively with people from diverse roles, backgrounds, cultures, and socio-economic statuses, including those experiencing crises or exhibiting resistance.
  • Time Management & Organization: Strong time management skills with the ability to prioritize, schedule, and complete work efficiently while adhering to deadlines and organizational policies.
  • Multitasking & Productivity: Ability to manage multiple tasks simultaneously while ensuring timely and accurate completion of work.
  • Collaboration & Teamwork: Proven ability to work collaboratively with other departments, employees, partners, and external organizations.
