Reporting into the Workplace Experience team, the primary responsibility of this role is to support the New York office through providing a positive employee and guest experience. The Receptionist will be responsible for executing all duties related to ensuring the office runs smoothly, which includes helping people access the office, checking people in, supporting the weekly lunch program, making sure the kitchen is stocked, logging tickets for any office maintenance, scheduling cleaners, helping book rooms, and more. You will have visibility into and an understanding of daily onsite meetings and events that have been scheduled in order to provide a hosted experience. This role will take on a hands-on approach to maximize the impact of our office experience.Responsibilities:• Prepare for all new employees who have registered for the office, ensuring they access the space successfully.• Monitor the Visitor Management System to ensure that you are fully aware of all visitor and tour arrival dates and times.• If needed, greet visitors and guests in the building lobby to help them access the space.• Serve as the main point of contact in handling all employee and visitor inquiries and requests (directional assistance, physically walking employees/visitors to their meeting rooms, outgoing mail assistance, assisting with meeting room changes and meal ordering guidance as needed)• Help maintain an inventory of standard IT peripherals (monitor wipes, Jabra headsets, phone and laptop power cords) and distribute to visitors and employees as needed.• Maintain a full understanding of the inner workings of the office to guide employees and visitors as needed.• Respond to all employee and visitor requests/complaints/concerns in an accurate and timely manner in person or via the office specific slack channel; making recommendations based on local knowledge and company guidelines.• Order weekly lunches and help with setup and teardown as needed.• Ensure the kitchen area is stocked with drinks and snacks.• Work with the WeWork community desk on all office needs.• As needed, help book meeting rooms within the WeWork building for any meeting or event that is too large for the rooms within the dedicated suite.• Maintain a professional appearance by wearing clean attire and being well groomed at all times.• Be in the office 5 days per week.• Support other key receptionist duties as assigned by the manager.Qualifications:To perform this job successfully, an individual must be able to perform the following essential duty satisfactorily.
