About The Role:
Clipboard Health is looking for a Payroll Administrator to join our growing payroll function and People Ops team! The Payroll Administrator will be responsible for preparing all payroll for Clipboard Health, and sending the prepared payroll to the Global Payroll Manager and Finance Manager for final review, approval and processing. In addition to preparing payroll, you will be responsible for answering questions from team members about their payroll, and ensuring new hires have completed all set up in order to be paid on time on their first pay run. You will also assist the Global Payroll Manager in any miscellaneous projects.
Responsibilities Include:
• Preparing payroll for two pay groups on a semi-monthly pay schedule (each pay group is processed in a different system)
• Address all payroll-related questions, concerns or disputes directly with team members, escalating to the Global Payroll Manager when necessary
• Maintains proper payroll records for all payroll runs
• Manages tax notices and business registrations as necessary
• Prepares verification letters for team members requesting a document from the business that reflects their current position, salary, etc.
• Supports the Global Payroll Manager with any additional reporting, auditing or investigations
• Supports the Global Payroll Manager with improvements to the payroll process and supporting documentation
• Contributes to broader People Ops objectives and goals
• Assist on various People Ops-related projects
• Looks for solutions that improve not only our payroll systems and processes, but the overall team member experience
What Success Looks Like:
3 months in: You are able to prepare and reconcile both payrolls accurately and on time. You are following the payroll process correctly, seeking the right approvals within the expected time frame, and assisting the Global Payroll Manager in ensuring accurate payroll processing for all team members, every time. You are actively contributing to the improvement of the payroll process, making suggestions to improve the time it takes to prepare payroll and/or to process payroll. You are building your understanding of what things flow through payroll in order to better support our team members’ inquiries.
6 months in: You are able to prepare and reconcile both payrolls 100% on your own. By the time payroll is being submitted to the second and third level approvers, they are not finding any inconsistencies or inaccuracies with the payroll you have prepared. You are also owning all inquiries submitted by team members, and are supporting additional items such as reporting and analysis. You are a trusted resource to both the People Ops team and managers, and are able to investigate and resolve payroll concerns/questions independently.
Need to Have:
• At least 2 years of hands-on, payroll preparation and processing experience
• Understanding and experience with US payroll tax regulations, calculations and laws
• Proficient in Excel/Google Sheets (i.e. experience with equations such as VLookUp, XLookUp, CountIFs, SumIFs, etc.)
• Experience working under tight deadlines
• Extreme attention to detail and high standards
• Strong sense of ownership, accountability and initiative
• Comfortable working with various types of technology
• Resourceful, organized and solution-oriented
Nice to Have:
• Advanced knowledge in excel (i.e. finance-related equations/calculations, ability to create pivot tables and graphs, etc.)
• CPP certification
• Experience working cross-culturally and with diverse, global teams
• Management experience
• Experience working in other capacities within an HR or People Ops team
• HR Certification like SPHR or equivalent
Salary and Schedule
Salary Range: $65k-$90k*
Schedule: 9 am- 5 pm PST preferred, but schedule is flexible
• Salary is negotiable, and based on both experience and location
