Property Associate

Responsibilities

Tenant and Client Services

  • Provide superior customer service to tenants, prospects, and clients.
  • Serve as a liaison between tenants, building engineers, security, housekeeping, and vendors.
  • Assist with tenant move-ins/move-outs, including coordinating logistics, notifications, and insurance compliance.
  • Monitor and follow up on tenant service requests and work orders to ensure timely completion.
  • Organize tenant meetings, training sessions, and events to foster engagement.
  • Prepare tenant communications, newsletters, memos, and building updates.
  • Manage tenant access card activation and deactivation.

Leasing and Marketing

  • Assist in the leasing process, from prospect inquiries to lease execution.
  • Conduct property tours and present available spaces professionally.
  • Respond to phone and email inquiries and schedule property showings.
  • Input and track leasing data in property management software.
  • Process rental applications, verify pertinent information, and submit for approval.
  • Coordinate lease execution and distribution, ensuring all documentation is properly filed.
  • Assist with marketing efforts, including social media updates, resident events, and outreach campaigns.
  • Maintain a thorough understanding of the surrounding market, competitor properties, and submarket trends.

Administrative Support

  • Provide direct administrative assistance to the property management team.
  • Ensure accurate tracking and renewal of tenant and vendor certificates of insurance.
  • Monitor property email and phone communications, ensuring timely responses.
  • Maintain organized filing systems (both digital and physical) for leases, contracts, and financial records.
  • Process accounts payable and receivable, including coding invoices and tenant billing adjustments.
  • Assist in preparing reports, budgets, and financial statements.
  • Track and document administrative expenses, identifying cost-saving opportunities.
  • Maintain conference room reservations and office organization.

Operations and Compliance

  • Coordinate vendor and contractor access for scheduled maintenance or service requests.
  • Ensure property readiness, including monitoring building cleanliness, security, and maintenance.
  • Participate in compliance audits and assist with annual inspections.
  • Support emergency preparedness planning, including updating procedures and coordinating safety meetings.
  • Assist property management in maintaining safety, cleanliness, and overall property appeal.

Miscellaneous

  • Maintain confidentiality and exercise good judgment in handling sensitive tenant and business information.
  • Support team initiatives for sustainability, community involvement, and tenant engagement.
  • Perform other related duties as assigned to ensure operational excellence.

Qualifications

Education & Experience

  • High school diploma required; Bachelor’s degree preferred.
  • Minimum of 1-2 years of experience in property management, leasing, or administrative support.
  • Experience in a customer service-focused environment preferred.

Skills & Abilities

  • Excellent verbal and written communication skills.
  • Strong customer service orientation with a professional demeanor.
  • Ability to multi-task and manage priorities in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Familiarity with property management software (Yardi, RealPage, or similar) is a plus.
  • Strong attention to detail and organizational skills.
  • Ability to work independently and collaboratively as part of a team.
  • Positive and proactive attitude with a willingness to learn.

Physical Requirements

  • Ability to sit for extended periods and use office equipment.
  • Frequent standing, walking, and reaching with hands and arms.
  • Ability to lift up to 35 pounds occasionally.
  • Use of stairwells and emergency exits when required.
