About What You’ll Work On:
Timecard Approvals: Oversee the approvals and approval process of timecards for hourly staff, including direct therapy services, administrative tasks, travel time, reporting time pay, and billable services
Schedule Management: Ensure schedules and completed sessions are up to date in EMR system and are updated in a timely fashion when discrepancies occur
Documentation Alignment: Ensure accuracy and alignment between timekeeping records and medical documentation, maintaining compliance with organizational and regulatory standards.
Communication and Follow-Up: Utilize progressive communication strategies to ensure all hourly staff properly document their hours worked. Address discrepancies promptly and maintain thorough records of outreach and resolutions.
Auditing: Perform daily, weekly, or monthly audits to determine areas in need of improvement in the agency, site specific, or staff specific, leading to further training and proper utilization of the software
Workflow documentation and roll out: Ensure all workflow guides, operating procedures, and training packages are up to date, clear, and concise
Process improvement: Analyze processes and procedures and recommend improvements to ensure further compliance, accuracy, or efficiency
Collaboration and Accountability: Partner with managers to implement progressive discipline for staff who fail to document hours accurately or respond to communications in a timely manner, fostering a culture of accountability.
Qualifications:
Comprehensive Knowledge of Wage & Hour Labor Laws: Demonstrated understanding and application of wage and hour labor laws in California, Washington, Colorado, Arizona, Virginia and Texas ensuring compliance with all relevant regulations.
Expertise in Therapy Coordination: Proficient in scheduling and coordinating Applied Behavior Analysis (ABA), Speech Therapy, and Occupational Therapy services to meet client needs effectively.
Strong Interpersonal Communication: Skilled in engaging with diverse stakeholders, fostering clear and professional communication across various levels of an organization.
Detail-Oriented Task Management: Proven ability to follow up on communications, track progress, and ensure timely completion of tasks with minimal oversight.
Conflict Resolution and Coaching: Adept at addressing challenges with team members, including facilitating understanding and engagement in corrective actions, such as timesheet adjustments.
High-Accuracy Workflow Execution: Demonstrates the ability to work efficiently under pressure while maintaining exceptional attention to detail.
Multitasking Proficiency: Effectively manages multiple priorities and responsibilities in a fast-paced environment without compromising quality or deadlines.
Software Experience: Experience with CentralReach EMR and Deputy HR software a plus!
