We’re looking for an Executive Assistant to support our CEO & Founder, Jan, and help him operate at maximum effectiveness. This is a rare opportunity to step into a key role at the heart of the company, working closely with leadership and gaining exposure to strategic and operational topics across the business. You’ll be the primary support to the CEO, ensuring that time, communication, and priorities are managed efficiently, while keeping an eye on the details that help everything run smoothly.
This role is ideal for someone who enjoys enabling others to do their best work, thrives in a fast-paced environment, and brings a thoughtful, highly organised approach to every task, big or small. If you’re excited to work in a high-trust, high-impact environment, we’d love to hear from you.
You’ll work as a close partner to our CEO and act as a central point of coordination across a wide range of activities and stakeholders. Your key responsibilities will include:
Managing the CEO’s calendar, communications, and meeting cadence.
Prioritising tasks, appointments, and travel to maximise efficiency and impact.
Acting as liaison between the CEO and internal/external stakeholders.
Ensuring meetings are well-prepared, run smoothly, and lead to clear follow-up.
Handling sensitive information with discretion and professionalism.
Supporting key projects and strategic initiatives across the company.
Organising and coordinating internal events and external engagements.
Conducting research and compiling materials to support high-quality decisions.
Managing travel and visa arrangements.
You have prior experience as an Executive Assistant or in a comparable role supporting senior leadership, and are comfortable managing the demands and dynamics of a fast-moving leadership environment.
You bring:
Excellent organisation, time management, and communication skills.
Fluency in English and German; additional languages are a plus.
High standards of professionalism, reliability, and discretion.
A proactive mindset and strong problem-solving instincts.
The ability to work independently and collaboratively.
Confidence using tools like Google Workspace, Microsoft Office, and project management platforms.
A high level of attention to detail in everything you do.
You are based in Berlin. While we are a remote-first company, this role includes in-person responsibilities that require you to be on site regularly.
