Executive Assistant

This position is a hybrid in-office role that works out of our Boston HQ. Monday-Thursday will be working in office and Friday is WFH. This is not a virtual / remote position.

Wayfair, one of the largest retailers of home furnishings and housewares in the United States, has an immediate need for an Executive Assistant to manage the day-to-day activities for leaders across our Marketing and Specialty Retail Brand teams. This is a fantastic opportunity for the right individual to support the senior leaders of one of the fastest-growing companies in Boston. The ideal candidate will bring strong organizational and planning skills, detail orientation, a high sense of urgency, a sense of humor, and problem-solving abilities to the role. This person should be smart, engaging, fun, curious, and unflappable.

Wayfair’s team of Executive Assistants play a crucial role in supporting executives. Their responsibilities include scheduling and coordinating meetings, managing travel arrangements, and opportunities to own projects across different operational functions. This position offers a unique opportunity for an experienced executive assistant looking to elevate their career.

What You’ll Do:

  • Executive Support: Provide support for 3-6 leaders in Marketing and Specialty Retail Brands. Enhance the executives' efficiency and effectiveness through comprehensive support. 
  • Calendar Management: Organize and manage all aspects of internal and external meetings with the ability to schedule and prioritize meetings, resolve schedule conflicts, collaborate with other team members, and stay several steps ahead to maintain efficiency.
  • Travel Management: Arrange all travel details, both domestic and international, with the ability to make frequent revisions as necessary.
  • Expense Management: Handle monthly business expense reports, ensuring timely and accurate processing.
  • Event Planning: Support with planning, coordination and execution of team events.
  • Customer Focus: Maintain a customer-centric approach, ask pertinent questions in meetings, and readily adapt to new challenges.
  • Teamwork and Positivity: Foster a collaborative team environment, keep a positive attitude, and proactively support colleagues and company events.
  • Admin Coverage: Provide coverage for members of the leadership support team as needed.
  • Thrive in a fast-paced workplace by effectively multitasking and managing competing priorities.

What You’ll Need:

  • At least 2+ years of experience as Administrative Assistant/Executive Assistant for senior level executives.  
  • Ability to be assertive and give push-back as needed.
  • Meticulous attention to detail and strong planning and forward-thinking capabilities.
  • Flexible and be able to adapt quickly to last-minute changes, taking them in stride while maintaining a pleasant manner and motivating spirit.
  • Demonstrated ability to anticipate needs and situations before they are fully developed.
  • Advanced proficiency in Google Enterprise Suite tools (calendar, mail drive, docs, sheets, slides, meet).
  • Excellent written, verbal, and presentation skills.
  • Extremely high level of discretion pertaining to confidential information.
