Event Coordinator

Job Description:

The Event Coordinator plays a key role in ensuring the successful execution of events by managing logistical details, communicating with clients, and organizing proposals. This position serves as the bridge between clients and the event support team, ensuring all resources are efficiently coordinated and event goals are met.    

Essential Job Functions: 

60%  %    A.  Event Planning & Execution Support:

  • Serve as the primary point of contact for all clients, internal and external, from initial enquiry, to on-site at the event, and through post event follow up. 
  • Consult with clients to assess event needs, expectations, and logistics. 
  •  Develop detailed event proposals, budgets, and timelines.
  • Assist Director with developing contracts for external clients and quotes for internal events.
  • Coordinate event support services, including catering, facilities, audiovisual, and campus safety.
  • Oversee on-site event management to ensure seamless execution.
  • Maintain accurate records of event details, contracts, and client communications.
  • Ensure events align with institutional priorities and policies.


20%  %    B.  Scheduling and Resource Management: 

  • Input and manage event details using the college’s event management software (EMS).
  • Communicate event requirements to the director and support team to facilitate resource allocation.
  • Coordinate with vendors and service providers to ensure event needs are met.
  • Assist with evaluating event outcomes and client feedback to improve future planning. 

15%  %    C.    Marketing and Outreach: 

  • Assist with managing the department’s social media accounts and external outreach initiatives.
  • Cultivate relationships with new and returning clients to promote event services.
  • Collaborate with campus departments to increase awareness and engagement in events.

Education:

Required:  High School Diploma

Preferred: Bachelor’s degree in Event Management, Hospitality, Communications, or a related field preferred.

Professional Experience:

Required:  2 years of experience in event planning, client relations, or a similar role.

Preferred: Experience in higher education event planning and proficiency with EMS scheduling platform or Workday
