Research Project Management Executive

Job Description

 

Enable fulfillment of operations deliverables and ensure those deliverables are in line with budget, schedule and quality assurance based on global standard operating procedures within area of responsibility. Close and effective collaboration across multiple functions that work together on project execution and deliverables to deliver on project/client commitments.

JOB PURPOSE

The project management role is responsible for managing all aspects of project activities from costing, set-up, execution, data quality to end deliverables. Ensuring that projects are completed within established budgets, parameters, schedule and quality standards. Proactive approach to addressing potential operational risks with mitigation plan in place to ensure we deliver on all our project commitments and drive high client satisfaction. Commercial understanding and driving high customer service standards are key as this role works in close collaboration with commercial partners and even the end client.

Essential Duties

  • Quotation: Clarify Request For Quotation (RFQ) specifications and client requirements to understand the research purpose.
  • Quotation: Track and update the quotation cost timely to support project specification changes.
  • Quotation: Review and alert capacity concerns with increased or additional business.
  • Field-setup: Prepare high quality fielding materials & instructions.
  • Field-setup: Establish and facilitate regular project meetings and discuss with commercials to collect and analyze their business requirements and transfer to accurate specifications.
  • Field-setup: Provide fieldwork briefing & training to vendors to clarify project specifications and requirements.
  • Field-setup: Work closely with field team/vendors and online panel suppliers to ascertain their capacity & capability level and allocate resources to meet project requirements.
  • Field-setup: Thoroughly check questionnaire, survey link is working and coordinates any rectification with commercial and programmer.
  • Field Execution: Monitor the productivity and progress by driving fieldwork team or external vendors to meet project timeline according to planned schedule.
  • Field Execution: Monitor respondent quotas are targeted and achieved, tracking and advising on quality of responses and data.
  • Field Execution: Ensure timely response to any queries from Quality Check (QC), Customer Success or Client.
  • Field Execution: Work closely with Quality Check team if there is any quality validation required.
  • Field Execution: Ensure all the project material/product/concept and storage are handled confidentially.
  • Field Execution: Manage and track project budget and variance.
  • Project Closure: Deliver timely project summary reports and performance dashboard.
  • Project Closure: Calculate and proceed payment with vendors or online suppliers.
  • Project Closure: Ensure all the project material/product/concept are disposed confidentially.
  • Quality Assurance: Implement quality assurance procedures in accordance with data collection methodology.
  • Quality Assurance: Ensure investigation is appropriately conducted considering robust analysis, documentation of root causes and identifying potential risks to fieldwork quality.
  • Quality Assurance: Ensure timely communication with the field team or vendor on any quality issues found.
  • Quality Assurance: Ensure appropriate remediation is identified that will address the root cause and proactively prevent similar issues from occurring.
  • Quality Assurance: Use systems or tools to track data fluctuations and identify & address fieldwork issues through data analysis.

Process Improvement

  • Work with the operations project manager to track, analyze and assist in understanding life cycle quotation cost, when projects expenses seem to be too high and have inconsistencies.

Vendor Management

  • Provide performance feedback to Vendors to improve their morale and motivation.
  • Encourage continuous improvement by providing Vendors with timely, constructive feedback and necessary support to ensure high quality and timely delivery.
  • Organize KPI discussion and action planning meeting to provide feedback and recognition to vendor partners on their project execution.
  • Continuously look and accredit professional vendors who can support our business needs.

Time Management

  • Design a project schedule to align resource allocation and timeline.
  • Drive fieldwork team or external vendors to meet project milestones according to planned schedule.

Cost Management

  • Manage and track project budget and variance.
  • Document project life cycle cost information for use in controlling expenditures.

Change Management

  • Manage change requests to minimize impact on cost and execution.
  • Analyze changes in project design to determine cost impact.
  • Escalate change request to higher level for review and approval before implementing change.

 Quality Management

  • Conduct fieldwork observation/accompaniment when required and address vendor issues to help field team to implement corrective actions so they are consistent with quality standards.

Risk Management

  • Proactively identify and manage resolution of risks and issues that may negatively impact a project deliverable.
  • Seek and implement innovative ways to remove project obstacles.
  • Escalate project issues and risks as appropriate.

Communications

  • Conduct regular project reviews and communicate the status of the project.

Compliance

  • Manage, maintain and dispose of all project materials and documentation according to the company SOP manual.
  • Fully complied with data security and privacy policy to protect personal individual-level data as well as client provided name list.
  • Work with fieldwork team and external vendors/suppliers to assure the process adherence to company SOP as well as meeting country policies & regulations.

    You are flexible and easily adapt in a dynamic work environment, build strong engagement with key partners and excel in stakeholder management. You work in organized and efficient manner with high utilization of your and team’s time as well as optimal utilization of operations resources. You have a can- do attitude, you are self-motivated, have negotiating skills and you are a great communicator. You work collaboratively and are part of a remote team within a dynamic and challenging environment, while maintaining high standards.

    • 1+ years’ Market Research experience, preferably in Operations.
    • Fresh grads are welcome to apply
    • English language skills, both written and verbal, are preferred.
    • Extensive project management experience.
    • Excellent communication skills.
    • Ability to manage multiple priorities following strict time schedules.
    • Strong attention to detail, high level of accuracy.
    • Advanced working knowledge of Microsoft Office and communication tools.
    • Ability to understand ethical & integrity values and takes responsibility for own actions.
    • Ability to maintain performance under pressure and accepts accountability for own actions and performance.
    • Ability to cooperate well with others within and across departments to get the work done.
