We are looking for a diligent and collaborative full-time data entry specialist to join our team. The successful candidate will help facilitate all back-end data entry, purchasing and filing activities in a dynamic research institute.
The ICS Finance team includes an institute finance and payroll manager (finance team lead), grant managers, a payroll and finance assistant, a data entry specialist (this role), and internal audit and compliance check staff to provide comprehensive support to our researchers while ensuring we are operating at a high level of audit-proof and compliant research administration. We are a fast-paced and dynamic team that is in close... communication with each other to ensure the highest level of customer service and support for our researchers and staff. This role is supported by the Finance Team and works in collaboration with the grant managers, the finance team lead, and the payroll assistant to ensure that data entry across portfolios happens seamlessly.

Who We Are The mission of the Institute of Cognitive Science (ICS) at CU Boulder is to understand and enhance human cognition, learning, and development through the creation of interdisciplinary partnerships. ICS fosters rich scientific interchange across researchers from a broad range of fields including Artificial Intelligence, Linguistics, Psychology, Neuroscience, Computer Science, Philosophy, and Education. What Your Key Responsibilities Will Be Data Entry Support Support ICS Finance Team, Grant Managers, and Finance Manager by transferring data from provided source documentation to appropriate University forms and systems in an accurate and timely fashion.
The type of data includes but is not limited to: procurement, travel and nontravel reimbursements and subject/participant payments. This duty will require understanding the workflow systems put in place to facilitate accurate data transfers. It is expected that the fluctuating volume of this job duty will be reported to the Finance Manager supervisor regularly.
Some of these tasks include: Using the University's Concur system to enter purchase and reimbursement data as received, considering monthly timelines Data entry to process forms for stipends, subject payments, etc. in response to the efforts of the research teams Tracking and following up as needed until the multi-step process is completed Maintaining all record-keeping per ICS processes and sponsored project requirements Record Keeping and Filing Create complete backup documentation for various financial transactions Ensure that backup documentation is integrated into the ICS filing system according to prescribed methods for easy retrieval Maintain Excel logs that track financial data Project Support Support special projects as assigned by the Finance Manager (supervisor). What You Should Know The position is a hybrid or fully remote work.
Because this is a classified position, Colorado residency is required regardless of work modality. What We Can Offer The hiring range for this position is $39,100-$45,000 annually based on experience and internal equity. If you have prior state-classified experience in the same class series as this position, your pay may be set at a higher amount per the state Step Pay Program implemented on July 1, 2024.

What We Require Current Colorado residency. One (1) year of relevant experience in an occupation related to the work assigned to this position, or a combination of related education and/or relevant experience in an occupation related to the work assigned equal to one (1) year. What You Will Need Solid understanding of computer desktop applications (Microsoft Office, particularly Excel, and Adobe).
Able to organize and prioritize work to meet cyclical monthly timelines. Ability to collaborate on shared tasks and close attention to detail. Good teamwork skills and the ability to work independently.
Ability to complete tasks thoroughly and consistently after procedures are learned. Ability to manage multiple, ongoing tasks, and to respond professionally to interruptions and adjustments to priorities. Willingness to continually build knowledge of the position and Institute procedures.
What We Would Like You to Have Experience with procurement and finance systems. Experience with Adobe Pro. Intermediate experience with Microsoft Office Excel, including creating new formatting and formulas in addition to basic data entry.
