Administrative Assistant

Position Summary: The Administrative Assistant is responsible for providing our guests with a “World Class” first impression of the facility. The Administrative Assistant will manage and coordinate visitors to ensure they feel welcomed and special. This position will also make recommendations and or suggest ways to continuously improve the experience for visitors to the facility.

Duties/Responsibilities:

  • Facilitate and coordinate guests and scheduled appointments.
  • Answer the main phone line – route calls, take messages, and manage the initial communications.
  • Store office supplies when delivered.
  • Filing, making copies, printing/collating, and other pertinent administrative responsibilities as assigned.
  • Collect data and create graphs for communication center slides daily.
  • Assist potential candidates with on-line application process.
  • Assist with additional duties or special projects as requested by the Leadership team.
  • Sign for UPS & FedEx deliveries.
  • Match packing slips to invoices for accounts payable and purchase orders.
  • Prepare A/P batches to scan for processing through the ERP system.
  • Contact Vendors to get POD’s, answer questions and update existing suppliers
  • Assist with HR administrative tasks.
  • Initiate phone screens for external applicants.
  • Other duties as assigned.

Qualifications:

  • High school diploma or equivalent preferred.
  • Proficient in Excel and Word.
  • Ability to learn Oracle ERP system and/or proficiency with an ERP system is a plus.
  • Knowledge of accounts payable accounting techniques and methods is a plus.
  • Strong analytical & problem-solving skills.

Physical Demands:

  • Must be able to consistently operate a computer and other office productivity machinery
  • Must be able to communicate with others via phone, email, in person.
  • Must be able to exchange accurate information with others
  • Work primarily involves sitting/standing, up to 4-hours at a time
