Job Description:

We’re looking for a Documentation Specialist to join our team at MBPS. In this role, you will play a crucial role in managing and enhancing our organization's documentation and knowledge-sharing capabilities. This position involves working closely with subject matter experts and various departments to capture, organize, and maintain essential documentation, ensuring that all team members have easy access to accurate and up-to-date information. The ideal candidate will be proactive, detail-oriented, and passionate about fostering a culture of knowledge sharing and continuous learning.

Key Responsibilities:

  • Manage centralized repositories for documentation, including policies, procedures, guidelines, and training materials.

  • Collaborate with subject matter experts to capture and document tacit knowledge.

  • Ensure the accessibility and usability of documentation and knowledge resources for all team members.

  • Partner with the compliance department to ensure the accurate documentation, organization, and maintenance of compliance-related policies and procedures.

  • Conduct regular audits of existing documentation to ensure accuracy and relevance.

  • Proactively identify opportunities for workflow enhancement and take ownership of implementing improvements to optimize efficiency and effectiveness.

  • Utilize knowledge management software and tools to enhance information sharing and collaboration.

  • Provide support and guidance on documentation standards and best practices to various departments.

  • Foster a culture of knowledge sharing and continuous learning within the organization.

  • Monitor incoming requests for editing current content and ongoing monitoring to ensure materials are up to date.

  • Ensure content is approved by the appropriate partners and annual review is completed.

  • Ensure processes & procedures are clearly documented.

  • Provide guidance to content owners to ensure their documents meet standards and make recommendations for enhancements to content.

  • Perform user acceptance testing as required for any releases or enhancements.

  • Manage system access for all users of the document repositories and educate them on knowledge management tools and practices.

  • Monitor group email boxes, calendars, and intake tools and take measures to ensure items are being handled appropriately. 

  • Assist the team with a willingness to engage and adapt to the changing needs of the business.

Qualifications:

  • Knowledge Management Expertise: Proven experience in knowledge management and documentation, with the ability to capture, organize, and maintain essential information effectively.

  • Strong Communication Skills: Excellent written and verbal communication skills, with attention to detail, enabling effective collaboration with subject matter experts and cross-functional teams.

  • Organizational and Project Management Skills: Strong organizational abilities and project management skills to manage centralized repositories and ensure the accessibility and usability of documentation.

  • Technical Proficiency: Familiarity with knowledge management software and tools (e.g., SharePoint) to enhance information sharing and collaboration within the organization.

  • Analytical and Problem-Solving Skills: Ability to proactively identify opportunities for workflow enhancement and implement improvements to optimize efficiency and effectiveness.

  • Additional qualifications such as an experience in change management are considered advantageous.
