We are seeking a detail-oriented Administration Officer to join our team, providing high-quality administrative and customer service support to Navitas Skilled Futures (NSF) across all services, programs and sub-programs as required.

Client Relationship Management
Ensures the provision of excellent customer experience by:
• Promptly and courteously responding to front desk, phone, and email enquiries
• Positively shaping the clients’ first impression of Navitas Skilled Futures
• Actively promoting and marketing Navitas Skilled Futures programs, services, and expertise to current and prospective clients
• Escalating client feedback and complaints to the appropriate channels
• Assisting clients with program, site, settlement, and employment information
• Assisting with the organisation and promotion of site events e.g., fundraising, morning teas, graduation, open days
• Assisting clients and stakeholders onsite as required
• Day-to-day liaison and communication with clients, and other stakeholders
Data Administration
Ensure effective data administration by:
• Carrying out data entry for identified processes
• Providing administrative assistance and information to the local site teams as requested
• Meeting and contributing to the achievement of government contract requirements and key performance indicators (KPIs)
• Ensuring all business data entry deadlines are met while maintaining accuracy across all databases
• Identifying anomalies in data entry and seeking rectification
• Ensuring client records and personal information are stored securely according to Navitas Skilled Futures privacy policy, contract and legislative requirements
• Escalating any issues in a timely manner.
Reporting and Administrative Support
Ensure consistent high-quality reporting support by:
• Sourcing, extracting, analysing, validating data on the NSF reporting systems
• Co-operating with other Navitas Skilled Futures staff and external agencies in a way which ensures Navitas Skilled Futures complies with privacy regulations.
• Supporting the delivery and administration of the Volunteer Tutor Scheme
• Providing administrative assistance and support across projects, operational and system improvements
• Providing administrative assistance and information to the business as and when needed
• Liaising with relevant staff to assist with asset maintenance and stocktakes, including teaching resources, furniture and equipment
• Support the business with maintenance and updates of the Quality Management System (Policy Hub)
Systems and technology
• VETtrak data entry and reporting
• Commonwealth systems such as ARMS, ImmiAccount and Workforce Australia Online
• Providing up-to-date and accurate systems information and assistance
Other
• Performing other administrative duties, as required by the business
• Complying with Navitas Skilled Futures regulations involving health, safety and welfare and other relevant company policies and Values in Action
• Seeking continuous improvement in delivery of administrative support, and implementing and modelling high standards of work performance
• Ensuring legislative compliance for the health and safety of staff and students at Navitas Skilled Futures
