Job Summary


An organized and detail-oriented Event Manager with a strong focus on operational logistics to join our team. This role is integral to the success of our events, ensuring seamless execution from start to finish. The ideal candidate will have a keen eye for detail, exceptional project management skills, and experience in overseeing the operational aspects of events, including scheduling, vendor coordination, on-site management, and troubleshooting. Responsible for planning, budgeting, and onsite project management of company participation in industry events including trade shows, private parties, meetings, user conferences and related events. Manages, maintains and creates Nextech exhibition assets. Works closely with the Marketing and Sales team to effectively position organization brand and messaging throughout events to generate and measure the effectiveness of leads generated.

In addition to working in accordance with appropriate conduct and behavioral standards, specific responsibilities of this role include:


Essential Functions
  • Event Coordination: Manage all logistical aspects of event planning, from initial concept through post-event analysis. Oversee scheduling, venue arrangements, permits, equipment rentals, and transportation.
  • Vendor and Supplier Management: Source, negotiate, and coordinate with vendors, contractors, and service providers, ensuring quality and timely delivery of services and products. Maintain strong relationships with key vendors to ensure consistent service.
  • Budget Management: Assist in creating and managing event budgets, tracking expenses, and ensuring the event stays within financial constraints. Provide cost estimates and monitor spending as needed.
  • Timeline and Scheduling: Develop and maintain detailed event timelines, ensuring all milestones are met and key actions are completed on time. Coordinate timing with vendors, performers, and other stakeholders.
  • On-Site Operations: Oversee the setup and breakdown of events, ensuring the execution aligns with pre-established plans. Handle on-site problem-solving and ensure all operational aspects run smoothly during the event.
  • Event Management: Lead and supervise event staff, ensuring roles and responsibilities are clearly defined. Provide on-site guidance, troubleshooting, and maintain clear communication throughout the event.
  • Compliance and Safety: Ensure all events adhere to relevant local laws, regulations, and safety protocols. Obtain necessary permits and manage risk mitigation strategies.
  • Post-Event Analysis: Conduct debriefs after events to evaluate operational performance and identify opportunities for improvement. Prepare event reports and provide feedback to improve future event execution. Plan, budget, and serve as onsite project manager for all major corporate industry trade show events. 
  • Process show leads into CRM system and distribute to sales force. 
  • Track expenses and complete financial reconciliation. 
  • Tabulate, evaluate and report on lead count, CPL, CPC and ROI of all trade show events. 
  • Facilitate and coordinate execution of corporate, sales and client user group events. 
  • Carry out additional responsibilities as assigned based on business need.



Minimum Requirements
  • 5+ years of experience in event planning or event operations, with a focus on logistics and detail-oriented execution.
  • Exceptional organizational and time management skills.
  • Strong problem-solving abilities and a proactive approach to troubleshooting.
  • Ability to manage multiple projects simultaneously while maintaining a high level of accuracy.
  • Excellent communication skills, both verbal and written.
  • Proficiency in event management software and tools (e.g., Eventbrite, Asana, Microsoft Office Suite). Possess strong attention to detail including organizational, planning and logistical skills. 
  • Demonstrates confident, relaxed, interpersonal and conversational skills. 
  • Ability to work in a fast-paced environment, with multiple and changing priorities while maintaining a strong focus on execution and event coordination. 
  • Ability to collaborate and consult with internal stakeholders to deliver impactful, engaging events. 
  • Must be proficient in Microsoft Office suite of products (including strong knowledge of excel). 
  • The ability to travel to the events; may include travel on some evenings and weekends.  


Preferred Qualifications
  • Bachelor's degree in Event Management, Hospitality, Business, or a related field preferred. Experience with marketing communications and graphics preferred. 
  • Experience with lead retrieval systems, lead capture and qualification in CRM systems such as Salesforce. 
  • Experience with HubSpot, ExactTarget, or similar marketing platforms. 
  • Proven ability to think independently and adapt quickly using leadership initiative to solve problems. 
  • Demonstrates creativity, flexibility and commitment to continuous improvement. 
  • CME or CMP certification.
