We're seeking a passionate, fun, and tech-savvy Recruiting Assistant with native-level English proficiency to join our dynamic crew remotely and help us source diverse talent for a wide range of roles. The Recruiting Assistant will play a crucial role in ensuring a smooth and efficient candidate screening process and maintaining effective communication with candidates and the recruitment team. This role requires attention to detail, excellent organizational skills, and strong communication abilities.
Responsibilities
Review Incoming Resumes and Applications: Evaluate resumes and applications within 24 hours after a role has been posted and update the sourcing team if more applicants are needed.
Screen Candidates: Assess candidates based on job requirements and qualifications, utilizing established criteria such as video interviews, resumes, and application forms.
Move Qualified Candidates: Transition qualified candidates to the appropriate stage in the recruitment system (e.g., Ashby).
Update Recruiters: Notify the assigned recruiter after the screening process so they can approve the screened candidates.
Communicate with Candidates: Contact candidates via email to confirm availability, salary expectations, and any other relevant information if required.
Create Internal Review Sheets (IRS) and Talent Review Sheets (TRS): Prepare IRS and TRS for shortlisted candidates based on screening results once the recruiter gives the green light.
Maintain Records in ClickUp and Ashby: Upload IRS and TRS to ClickUp and add the TRS to Ashby in the external sheet section under job settings.
Ensure Timely Communication: Maintain prompt communication with candidates throughout the screening process to keep them informed.
Clean-Up Closed Roles: Organize and clean up closed roles in the recruitment system once a candidate is hired or the recruitment process for a role is concluded.
Ashby Health: Regularly monitor and maintain the health of the Ashby system, ensuring data accuracy and integrity.
Clean-Up Generic Buckets: Organize and clean up generic candidate buckets in Ashby.
Create and Manage Stages: Create different stages in Ashby and move candidates to the appropriate stages accordingly.
Check Candidate Buckets: Ensure candidates are in the correct buckets and move them if necessary.
Evaluate Candidate Videos: Review candidate video submissions, request retakes if the quality is insufficient.
Ensure Resumes are in English: Verify that all candidate resumes are in English.
Group Candidates by English Proficiency: Categorize candidates based on their level of English proficiency.
Qualifications:
Native-level English proficiency.
Min. 1 year as a virtual assistant or other remote work
Proactive and eager to learn with a can-do attitude.
Strong communication skills
Basic understanding of recruitment processes (experience is a plus but not mandatory).
Adaptability to a global and remote team environment.
Working Hours:
Full-time remote position from 9 am to 6 pm EST.
English proficiency at a native level is a prerequisite, and applications without videos will not be considered.
