Executive Assistant

As an Executive Assistant, you will play a crucial role in ensuring smooth daily operations by meticulously tracking employee hours, managing project details through the Jobber App, and expertly handling appointment scheduling and client/team leader follow-up via various communication channels. Your commitment to providing excellent customer service, managing personal agendas, and proactively taking on future tasks will be essential, requiring strong time management, clear communication, CRM proficiency, keen attention to detail, adaptability to new technologies, and a tech-savvy approach across office software and social media platforms.

Responsibilities:

  • Tracking hours from employees
  • Jobber App: tracking notes/pictures/ reports/ timing
  • Scheduling appointments
  • Follow up clients and Team leaders (emails/phone calls)
  • Excellent Customer Service
  • Handle Personal Agenda
  • Any future task as I needed
  • Time Management: Efficiently schedule and prioritize tasks, ensuring deadlines are met.
  • Clear Communication: Strong written and verbal communication skills, including professional email correspondence and social media interaction.
  • CRM Management: Familiarity with CRM system to update and maintain client and lead information.
  • Attention to Detail: Precision in booking appointments, responding to emails, and managing CRM data.
  • Adaptability: Ability to learn new tools and platforms quickly and stay updated with new social media trends and tools.
  • Customer Service: Providing excellent support and communication, ensuring clients and contacts have positive experiences.
  • Tech Savvy: Proficient in using office software (e.g., Google Suite, Microsoft Office), CRM systems, and social media tools.

Schedule: Monday through Friday from 8:00am to 5:00pm PST
