Position: Program Operations Associate

Reports to: Supervisor of Program Operations

Status: Full-time (40 hours per week), exempt or non-exempt (determined based on the candidate's final salary in accordance with applicable New York City labor laws)

Compensation: The base salary for this position is $60,500 annually, with additional pay based on relevant experience and degrees

Union: Union position

Start Date: April 1, 2025

Location: New York, NY - While this position is primarily a remote position, applicants must live in either New York or New Jersey

Remote Work / Travel Requirements: This is primarily a remote position, however attendance to in person meetings in NYC is required up to four days per month


Summary

BioBus is excited to announce an opening for a Program Operations Associate for our New York City-based Team Discovery. This role focuses on coordinating logistics for our mobile and pop-up lab programs, ensuring young people across NYC and elsewhere have access to impactful, hands-on science experiences. The Program Operations Associate will collaborate and communicate with multiple stakeholders, including program staff, external partners, and fleet operations, to deliver high-quality, student-centered science programs. This position will utilize existing systems and processes developed by the Team Discovery Manager, however there will be opportunities for advancement and higher levels of responsibility as experience is gained. The Program Operations Associate should expect to be in person up to four times a month upon initial hire to observe programs and acclimate to the role and BioBus culture. After initial onboarding, the role will transition to mostly remote work aside from quarterly in-person all staff meetings, which last 3–4 days.

We focus on students excluded from the scientific community due to factors such as race, gender, economic status, and physical access. Through this work, we envision a world where all people have the opportunity to reach their full scientific potential. We’ve reached 400,000 students at more than 1,000 schools since 2008, primarily in NYC public and charter schools, as far away as California and more recently we have expanded to the Boston area with a team based in New England.

 

BioBus students connect with scientists from diverse backgrounds, learn lab and research skills, practice science communication, and take steps to become the next generation of scientists and problem-solvers, making the world better for all of us. Our students access and become part of the scientific community through introductory science labs aboard our mobile labs at their schools; after-school, weekend, and summer programs; and year-long internships. Our recent expansion in the Bronx is poised to provide a full pathway of programs for students in the Bronx.

Responsibilities


Program Coordination and Logistics

● Serve as the primary contact for mobile lab program coordination, fostering clear communication among internal teams, partner organizations, and volunteers.

●       Collaborate with the facilities team and partner organizations to ensure that parking logistics are considered and the plans are clearly communicated to all relevant parties.

●       Collect and organize schedule and parking information from stakeholders using various platforms (online forms, emails, phone calls, Google Maps).

●       Communicate with and maintain schedule of volunteers for mobile and pop-up lab programs.

●       Finalize program plans and input details into systems like Salesforce, Quip, Google Drive, and Google Calendar.


Data Monitoring and Workflow Optimization

●       Follow existing protocols to ensure the accuracy of program data across Salesforce, Quip, and Google Workspace.

●       Generate data reports to support program evaluation and optimization.

●       Suggest and test workflow improvements to enhance operational efficiency.


Program Support and Development

●       Contribute to creative program development as part of the Discover Task Force.

●       Support in-person programming, including events, team meetings, and all staff meetings.

●       Assist with other communication and coordination tasks as needed.


Requirements


Minimum Qualifications

●       Bachelor’s degree or equivalent experience in program coordination or operational support.

●       Strong organizational skills and attention to detail.

●       Proficiency in office technology, including word processing, email, data entry and maintenance tools, and calendar management.

●       Ability to work collaboratively across diverse teams.

●       Be self-sufficient and able to prioritize and swiftly respond to program and stakeholder needs while in communication with manager and team.

●       Time management skills, ability to work under time constraints.


Preferred Qualifications

●       Interest or background in science, education, or social justice.

●       Experience in program logistics or a similar role.

●       Familiarity with Salesforce or similar CRM systems.

●       Experience working with schools or community organizations.

●       Understanding of vehicle logistics or fleet operations.

●       Calendar and schedule management experience.



$60,500 - $78,700 a year
Compensation and Benefits

The salary range for this position is $60,500 - $78,700. If hired for this position, your salary offer will be calculated based on the minimum salary of $60,500, with additional pay for relevant years of experience and degrees, if eligible.

Compensation at BioBus is competitive, commensurate with experience, and is in alignment with internal equity. BioBus regularly conducts a thorough study of market-competitive salaries. Our goal is to ensure that pay is fair and competitive for all staff members, both considering the market and considering pay equity among staff in similar roles in the organization.

In addition, BioBus offers a very generous health benefits package, Flexible Spending Accounts for medical, childcare and commuter expenses, and an Employee Assistance Program (EAP) as well as retirement benefits with employer match and employer sponsored life insurance. Benefits preview available here. Additionally, BioBus offers generous time off with pay in order to support a sustainable high performance work culture. Full-time union staff receive 25 vacation days per year, along with time off for up to 16 holidays, five personal days, and 15 sick days. We also offer a paid sabbatical for full time staff after seven years of service.

This position is included in a union-represented collective bargaining unit, and specific terms and conditions of employment are subject to collective bargaining negotiations.
