Assistant Controller

We are seeking a proactive, experienced, and highly technical Assistant Controller to join our dynamic finance team. In this hands-on role, you will oversee vendor payments, client invoicing, account reconciliation, and contribute to financial reporting and analysis. You will ensure the accuracy of our financial records in QuickBooks Online and play a key role in maintaining the financial health of our organization. You will also lead process improvement initiatives and assist with strategic financial planning. Responsibilities:

Accounts Payable (AP) & Accounts Receivable (AR) Management:

  • Oversee the AP and AR processes, ensuring accuracy and efficiency.
  • Manage and mentor AP/AR staff (if applicable).
  • Develop and implement AP/AR policies and procedures.
  • Review and approve complex vendor payments and client invoices.
  • Monitor key performance indicators (KPIs) related to AP/AR.
  • Manage AP/AR HubSpot tickets and inquiries, resolving escalated issues.

Financial Reporting & Analysis:

  • Prepare and analyze monthly, quarterly, and annual financial reports.
  • Conduct variance analysis and provide insights to management.
  • Assist with budgeting, forecasting, and cash flow management.
  • Develop and maintain financial models and dashboards.
  • Ensure compliance with accounting standards and regulations.

Account Reconciliation & Month-End Close:

  • Oversee the month-end close process, ensuring timely and accurate completion.
  • Review and approve account reconciliations.
  • Prepare audit documentation and assist with audits.

Company Credit Card & Expense Management:

  • Manage the company credit card program and expense reporting system.
  • Develop and enforce expense policies and procedures.
  • Analyze expense trends and identify cost-saving opportunities.

Process Improvement & Efficiency:

  • Identify and implement process improvements in accounting and finance functions.
  • Lead automation initiatives and system upgrades.
  • Develop and maintain internal controls.
  • Standardize financial processes and documentation.

  • 5+ years of progressive experience in accounting, including supervisory or management roles.
  • Advanced proficiency in QuickBooks Online.
  • Expert-level Excel skills (formulas, pivot tables, macros, data analysis).
  • Experience using HubSpot for AP/AR ticketing and reporting.
  • Strong knowledge of GAAP and financial reporting standards.
  • Excellent analytical, problem-solving, and decision-making skills.
  • Strong leadership and communication skills.
  • Ability to manage multiple priorities and meet deadlines.
