JOB SUMMARY
We are seeking an experienced, proactive, and highly organized Executive Assistant to join our current EA in providing high-level administrative support to our C-Suite. This position requires exceptional communication skills, the ability to handle confidential information with discretion, and the capability to manage a diverse range of tasks in a fast-paced, dynamic environment. The ideal candidate has a strong background in executive support, excellent problem-solving abilities, and the flexibility to adapt to the evolving needs of the leadership team.
KEY RESPONSIBILITIES
Manage and maintain executive calendars, ensuring effective time management and prioritization of meetings, events, and appointments.
Coordinate and schedule internal and external meetings and company events (includes executive and board meetings, greeting guests, preparing agendas, taking meeting minutes, and following up on action items).
Provide support for special projects, includes monitoring and managing tasks and deadlines, ensuring timely completion and follow-up.
Handle sensitive and confidential information with integrity and professionalism.
Act as a primary point of contact between executives and internal/external stakeholders.
Organize and coordinate travel arrangements including flights, accommodations, transportation, and itineraries.
QUALIFICATIONS
Associate’s degree required, Bachelor’s degree preferred or equivalent combination of education and related experience.
Experience as an Executive Assistant supporting C-Suite level (10+ years preferred).
Strong proficiency in office software (Microsoft Office, etc.) and communication platforms (Slack, Zoom, etc.).
Experience independently coordinating and booking domestic and international travel without the use of a travel agency.
Exceptional organizational skills with the ability to manage multiple tasks and prioritize effectively.
Excellent written and verbal communication skills with a keen attention to detail.
Strong interpersonal skills and the ability to work effectively with a wide range of individuals, both internally and externally.
Ability to work independently and exercise good judgment.
Proactive and solutions-oriented mindset with the ability to anticipate needs and resolve issues effectively.
Legal support experience is a plus.
Experience at a biotech and/or clinical organization is a plus.
