Executive Assistant

JOB SUMMARY

We are seeking an experienced, proactive, and highly organized Executive Assistant to join our current EA in providing high-level administrative support to our C-Suite. This position requires exceptional communication skills, the ability to handle confidential information with discretion, and the capability to manage a diverse range of tasks in a fast-paced, dynamic environment.  The ideal candidate has a strong background in executive support, excellent problem-solving abilities, and the flexibility to adapt to the evolving needs of the leadership team.

 

KEY RESPONSIBILITIES

  • Manage and maintain executive calendars, ensuring effective time management and prioritization of meetings, events, and appointments.

  • Coordinate and schedule internal and external meetings and company events (includes executive and board meetings, greeting guests, preparing agendas, taking meeting minutes, and following up on action items).

  • Provide support for special projects, includes monitoring and managing tasks and deadlines, ensuring timely completion and follow-up.

  • Handle sensitive and confidential information with integrity and professionalism.

  • Act as a primary point of contact between executives and internal/external stakeholders.

  • Organize and coordinate travel arrangements including flights, accommodations, transportation, and itineraries. 

 

QUALIFICATIONS

  • Associate’s degree required, Bachelor’s degree preferred or equivalent combination of education and related experience. 

  • Experience as an Executive Assistant supporting C-Suite level (10+ years preferred).

  • Strong proficiency in office software (Microsoft Office, etc.) and communication platforms (Slack, Zoom, etc.).

  • Experience independently coordinating and booking domestic and international travel without the use of a travel agency.

  • Exceptional organizational skills with the ability to manage multiple tasks and prioritize effectively.

  • Excellent written and verbal communication skills with a keen attention to detail.

  • Strong interpersonal skills and the ability to work effectively with a wide range of individuals, both internally and externally.

  • Ability to work independently and exercise good judgment.

  • Proactive and solutions-oriented mindset with the ability to anticipate needs and resolve issues effectively.

  • Legal support experience is a plus.

  • Experience at a biotech and/or clinical organization is a plus.
