Senior Coordinator, Track Marketing & Promotions

About the International Motor Sports Association (IMSA):

The International Motor Sports Association, LLC (IMSA) was originally founded in 1969 and owns a long and rich history in sports car racing. Today, IMSA is the sanctioning body of the IMSA WeatherTech SportsCar Championship, the premier sports car racing series in North America. IMSA also sanctions the IMSA Michelin Pilot Challenge, IMSA VP Racing SportsCar Challenge and Historic Sportscar Racing, as well as five one-make series: Ferrari Challenge North America, Lamborghini Super Trofeo North America, Mazda MX-5 Cup, Mustang Challenge and Porsche Carrera Cup North America. IMSA – a company within the NASCAR family – is the exclusive strategic partner in North America with the Automobile Club de l’Ouest (ACO) which operates the 24 Hours of Le Mans as a part of the FIA World Endurance Championship. The partnership enables selected IMSA WeatherTech SportsCar Championship competitors to earn automatic entries into the prestigious 24 Hours of Le Mans. Summary

Responsible for many of the advanced and at-track needs of IMSA’s fan engagement programs and support of Promoter Partner. This person oversees all at and on-track initiatives, including but not limited to: IMSA signage, Victory Lane ceremonies, Pre-Race Grid Walks, fan activities, as well as other at-track activities as outlined below.  It is expected this person will take a leadership role and oversight with respect to several of the items described below.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Develop scheduling process for each promoter advance meetings (2 each) with direction from manager.

Manage, facilitate, and host the advance meetings with IMSA and each promoter partner to ensure event planning processes and expectations are in order.

Create, manage, schedule the in-market promotional kits for Promoters (printed material / premium items)

Build and execute the IMSA on-track A-frame signage plan, optimizing the best placements and value for IMSA partners.  This requires close coordination between IMSA Competition, Partnership Marketing, Television and Promoters.

Manage IMSA on-track A-frame inventory, audit, replace and ensure partner branding is accurate

Keep track of in-house marketing material inventory throughout the season, order, replace, update as needed.

Maintain relationships with vendors and suppliers that provide products/services throughout the season.

Management and supervision of the Weekend part-time Event Marketing staff (i.e. “Weekend Warriors”.) Responsibilities include training employees; planning, assigning, and directing work; appraising performance; and resolving problems.

Work with Promoter on distribution / placement of IMSA’s marketing materials (signs /banners, flags, info-kiosks, fan guides, ancillary fan facing signage) throughout the facility.

Build and execute pre and post- race minute by minute details - requiring coordination with IMSA Competition, IMSA Marketing, and Promoter Partners

Support and organize at-track single-make partner assets related to dignitary positions and VIP experiences.

Responsible for management and oversight of Victory Lane podium ceremonies, including but not limited to: backdrop review and approval process, hanging of back drops, trophy coordination, hat distribution, PA and TV Broadcast coordination, IMSA Radio support leading up to and during event.

Manage Trophy Program – General Partnership, Trueman and Akin, Event trophies, plus year-end awards.

Develop fan facing marketing content for single make series such as autograph cards, Discover IMSA Guides.

Develop content, schedules and oversee Partnership inclusion for each race event Fan Guide and info-kiosk.

Oversight of IMSA Fan Grid Walk and Driver Autograph activities.

Support of in-market activation events.

Help plan and oversee all off-site/online promoter meetings.

Coordinate all PA announcements and at-track PA plans

Assist with VIP experiences.

20% travel including weekend: Travel as needed for race events in support of the execution of and activation of Corporate Partnerships and Marketing initiatives. Some separate travel for single-make weekends required, depending on season schedules.

Supervisory Responsibilities                                               

Directly supervises assigned staff.  Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.  Responsibilities include, and training employees; planning, assigning, and directing work; appraising performance;  and resolving problems.

Education and/or Experience                                                  

Bachelor's degree (B. A.) from four-year college or university; two to four years related event or motorsport experience and/or training; or equivalent combination of education and experience.

Language Skills                                                 

Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents.  Ability to respond to common inquires or complaints from customers, regulatory agencies, or members of the business community.  Ability to write speeches and articles for publication that conform to prescribed style and format.  Ability to effectively present information to top management, public groups, and/or boards of directors. 

Mathematical Skills                                                   

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability                                              

Ability to define problems, collect data, establish facts, and draw valid conclusions.  Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. 

Computer Skills                                                 

Proficient in Company hardware and software.
