The Corporate Marketing Assistant is a detail-oriented strong writer who can handle deadline pressure, taking the initiative to proactively seek answers to keep projects on track. This person is an organized planner who produces documents of high quality and consistency, adhering to established brand standards. The Marketing Assistant routinely collaborates with the marketing and business development team to create best in class qualification/proposal packages, other company forms and certification renewals to further the goal of the company to be the benchmark in the professional services industry.
Primary Responsibilities
§ Support the Corporate Office in assisting all branch offices with client pursuit by preparing SOQ/RFQ/Qualification Package responses and Proposals.
§ Monitor and track incoming marketing form requests and keep project planning system for
up to date for entire team.
§ Set up and attend Teams or Zoom calls with Branches and Marketing Specialist to coordinate on RFQ Response Strategy.
§ Work with Business Development personnel to provide sales and marketing support requests as needed.
§ Monitor RFQ/SOQ deadlines and proactively coordinate with stakeholders to allow sufficient time for coordination.
§ Update server databases with most current form building blocks and maintain and organize
records for future use.
§ Update company materials, such as professional resumes, as needed.
§ List maintenance: Create and maintain lists for various corporate assets, including awards tracking, email lists for promotions, laboratory certifications, etc.
§ Work with Marketing Specialist to continually improve qualifications package excellence by measuring and tracking feedback and implementing industry leading practices.
Secondary Responsibilities
§ Assist with other Branch marketing support activities as determined by the Marketing Specialist, such as research or information gathering to support activities for the following: Website, SEO, Media Relations, Social Media, Advertising, and Development of Corporate Materials.
§ Assist with internal communications information gathering for the newsletter.
§ Assist with marketing event support, including ordering collateral, researching vendors, etc.
Minimum Education, Training and/or Experience
§ Bachelor’s degree and 3 years’ experience or Associate Degree and 6 years’ experience or greater in a business-related degree, marketing or communications preferred.
§ Experience in a marketing or communications role, preferably in an A/E/C or professional service firm environment but all candidates with marketing experience are encouraged to apply. Certified Professional Services Marketer (CPSM) applicants will be given preference for interview selection.
§ Proficiency with Microsoft Office Suite AND experienced in Adobe Creative Cloud, including InDesign and Photoshop.
§ Writing/Editing sample required upon interview.
Position Type/Expected Hours of Work
This position is a hybrid/remote position that requires 20 hours per week. For the first 2 to 4 weeks (depending on need), this position is required to come into the office for training.
After that training time, it requires a minimum of a once-a-week meeting with the Marketing Team on Zoom, and the remaining balance of hours worked remotely during business hours and consistent days.
Note: This position must be willing to come in for occasional in-office meetings that are planned in advance and should be flexible enough to exceed 20 hours on the occasion when project deadlines demand it.
Travel
No out-of-town travel is expected for this position.
Requirements
Possession of a valid state of residence driver’s license.
Ability to be insured under all applicable Corporation insurance policies and requirements.
