Job Description

Reporting to the Regional People Director, the Office Manager plays a varied role in ensuring the smooth, daily running of the office. You will be to creating and maintaining a pleasant working environment, ensuring high levels of organisational effectiveness, communication and safety. The Office Manager will have contact with all levels of internal staff and clients and visitors, and work with the Mexico People team.

Responsibilities

  • Oversee and support all administrative tasks in the office to ensure the offices operate smoothly
  • Greet visitors, answer phones and provide routine information to callers and visitors
  • Accept, sort and distribute mail appropriately
  • Manage office supply inventory and place orders
  • Manage office snack and refreshment supply inventory, inclusive of weekly restock and any refreshments for meetings and events
  • Support People and IT in onboarding and off-boarding efforts
  • Manage maintenance of the office environment, local service contracts, etc.
  • Support MX staff travel and accommodation when required
  • Communicate any relevant information to the office by Email/Slack
  • Partner with IT team on office equipment
  • Assist with staff events as well as ad hoc event planning
  • Develop office procedures, and ensure they are implemented appropriately
  • Assist with Facilities with office planning, and liaise with IT team on office assets

Qualifications

  • +4 years of office management experience
  • Spanish and English proficiency 
  • Excellent time and project management skills 
  • Strong communication and organisational skills in a fast-pace environment
  • 3+ years of experience with customer interactions, both by phone and in person.
  • Google workspace proficiency
