As a Project Manager – Medical Operations, Neurology within our Medical operations team, the primary responsibility of this role is to manage and monitor the day-to-day operation of office administrative tasks for the Medical Operations, Neurology leadership team along with key tasks related to event management, contracting for Advisory Boards, Advisory Committees, and other Peer-to-Peer engagement events ensuring smooth workflow and efficiency in alignment with Global and Local needs, strategies, and directions.

Main responsibilities:

Operations

  • Manage and monitor the day-to-day operations for the Medical Operations Director, Neurology leadership team ensures smooth workflow and efficiency.
  • Responsible for providing end-to-end project management expertise and support on Sanofi Scientific events and conferences such as Congresses, Advisory boards, Symposiums, Conferences, Internal meetings etc. He/she will be responsible for providing Medical Directors (MDs) and field medical team with administrative support on pre-defined projects. 
  • Perform pre-defined key tasks on the projects to support the MDs and ensure the projects move forward, such as: create or ensure the required documents are completed on time by the MDs (currently GRF, ABP, PO and WBS forms) and move through the approval steps in a timely manner; when applicable, enter the documents/information on the relevant platform (Veeva, OneCRM, etc.) 
  • Ensure follow-up with Procurement/Customer engagement team and develop/fill the needed documents from the MDs, ensure the projects move in the systems (vendors on-boarding, new projects with vendors or consulting agreements with HCPs, payment); follow-up the contracting status; draft emails from templates, format documents (e.g. agendas, slides). Present project overview and status at management meetings  
  • Consistently demonstrates the core values, contributing to the business in a helpful, polite and professional manner undertaking any task however big or small.
  • Support with FMV and Tiering related activities in liaison with the contracting team.
  • Spearhead and maintain the Medical Operations, Neurology SharePoint site, ensuring up-to-date content accessibility for internal stakeholders.
  • Create MS form and OneCRM surveys, monitor spreadsheets and alert project owners on expiry of materials
  • Collaborate with Therapeutic Area leads to update content and liaise with Strategy and Operations leads for alignment, supporting effective cross-functional communication and resource management.
  • Support engaging content creation with excellent content development and engaging visual imagery for posts on LinkedIn, Viva Engage, and so on.
  • Work closely with other Administration/Support staff and teams to ensure the delivery of the goals.

Project Management

  • Effective calendar management to maximize efficiency, minimize conflicts between events, and ensuring timely delivery of projects.
  • Systematically organize and assign tasks, schedule meetings, project planning, team coordination, and risk management.
  • Regularly track and monitor project status, organize timelines, plan project milestones, set reminders, measure project’s progress, share status and success.
  • Prepare for meetings, develop presentations, manage multiple deadlines, and maintain oversight of critical details.
  • Support contract management with the establishment of contract with internal and external vendors. 
  • Work with the Medical Operations, Neurology Team to complete event GRFs, work with local teams to identify HCP nominations for events, partner with logistics agencies to arrange virtual and in-person engagements, follow-up on contracting status with the contracting team, and close out successful events.
  • Drive project governance meetings with various stakeholders, vendors, logistics and digital team etc. and execute effective coordination to track and monitor the progress of the projects.
  • Organize logistical solutions according to the project needs. 
  • Carry out any other general administration, assistant and management duties as required on behalf of Medical Operations, Neurology.

    • Proactive personality with minimum 3 years of experience
    • Proven ability to work effectively in a team-oriented environment.
    • Demonstrated organizational skills and ability to prioritize.
    • Previous experience in a team support / administration capacity within a fast-paced business.
    • Proficient at providing calendar support.
    • Eloquent at communication through social media networks such as, Yammer and Linkedin
    • Proven ability to meet deadlines and make best use of limited resources.
    • Strong team player who is self-motivated and able to multi-task under pressure.

  • Languages: Business fluent in English, both written and spoken.
