Executive Assistant

Centivo is looking for an Executive Assistant/Office Manager to help support our executive team and our Buffalo Office management. This is a full-time position located in our downtown Buffalo office.

 

Responsibilities Include:

Reporting to the Chief People Officer, you will:

  • Plan, schedule, and coordinate complex internal and external meetings, including multi-participant calls, presentations, and events, while managing all associated logistics such as access, catering, materials, and invitations for team members in both the Buffalo and NYC offices.

  • Oversee Buffalo office operations, serving as the primary liaison of building management to address office needs, maintenance requests, and facility-related concerns.

  • Maintain office efficiency by managing supply procurement, inventory control, and vendor relationships to ensure a well-equipped and organized workspace.

  • Handle highly sensitive and confidential matters with professionalism, discretion, and sound judgment, particularly in decisions that impact the company at an executive level.

  • Ability to function well in a high-paced environment; performs additional duties as assigned by executives.

  • Perform additional responsibilities as assigned by executives

 

Qualifications:

Required Skills and Abilities:

  • 3  years of experience working in an executive assistant role supporting executives

  • 1 year of experience managing an office

  • Advanced knowledge of Microsoft Office products (Outlook, Word, Excel, PowerPoint, Word) with ability to navigate SharePoint & OneDrive

  • Notary certified preferred or ability to obtain notary certification upon employment

  • Excellent written and communication skills

  • Ability to communicate effectively and professionally.

  • Flexible hours as dictated by the needs of business for projects and meetings.

 

Work Location:

  • This is a Buffalo office-based position and requires in-office presence with some work-from-home flexibility that is expected to be approved by your manager in advance.
