Job Description

THE ROLE

The Executive Assistant to Senior Leadership reports to the Executive Director (ED)  and supports the EDs and the Senior Director, Operations’ daily activities, managing their schedules, sorting and prioritizing correspondence, maintaining and updating financial records and processes, and preparing correspondence and meeting materials as required.  This role is an important conduit for Senior Leadership’s various workstreams and facilitates connection and collaboration between Senior Leadership, the Leadership team and its working groups, the Board of Directors, external audiences, and staff across the organization.

KEY RESPONSIBILITIES

  • Provide administrative support to the Executive Director and Senior Director, Operations including managing calendars, responding to requests, preparing reports, drafts, and correspondence.
  • In close collaboration with Senior Leadership staff, Board Planning, and Reporting Manager, Board directors, and the Leadership team, support board and board committee meeting planning and preparation.
  • Support board record maintenance and filing architecture.
  • Provide scheduling, agenda-setting, and minute-taking support for Leadership Team meetings and other meetings as required.
  • In close collaboration with the Senior Leadership team, routinely review department priorities and update/maintain Senior Leadership’s identified annual and strategic plan deliverables via relevant platforms/documents.
  • Support departmental and board events and retreat planning, including Leadership Team, All-Staff, and board retreats.
  • In close collaboration with the Finance and Administration department, coordinate recurring financial, administrative, and operational processes for the Senior Leadership team to ensure a seamless workflow, including assisting Finance team with securing appropriate signing authority.
  • Support Executive Director and Senior Director, Operations with budget management, including support with contracts and tracking budget over/under spends and variances.
  • Ensure accurate and timely expense processing to enable transparent financial tracking and reporting.
  • Support Senior Leadership’s external relationship stewardship (i.e. vendors, donors, and general inquiries).
  • Support the training of team members on the use of financial tools and forms, and adherence to established administrative policies and processes of the organization.
  • Maintain and update department’s administrative database and filing systems.
  • Research and provide recommendations on special projects/tasks as required.
  • Other duties as required

DESCRIPTION DU POSTE

L’adjoint.e de direction assiste la direction principale et relève de la direction générale. Cette personne épaule les membres de la direction générale et de la direction principale des opérations dans leurs activités quotidiennes : gestion des emplois du temps, tri et priorisation de la correspondance, tenue et mise à jour des dossiers et des processus financiers, préparation de la correspondance et des documents liés aux réunions, selon les besoins. Elle joue un rôle important dans la gestion des différents dossiers qui relèvent de la direction principale et favorise les liens et la collaboration entre la direction principale, l’équipe de direction et ses groupes de travail, le conseil d’administration, les publics externes et le personnel de la Fondation.

PRINCIPALES RESPONSABILITÉS

  • Apporter un soutien administratif à la direction générale et à la direction principale des opérations (gestion des emplois du temps, réponse aux demandes, préparation des rapports, des ébauches et de la correspondance, par exemple).
  • Aider à la planification et à la préparation des réunions du conseil d’administration et des comités du conseil d’administration, en étroite collaboration avec la direction principale, l’équipe de planification du conseil d’administration, la personne responsable de la reddition de comptes, le conseil d’administration et l’équipe de direction.
  • Contribuer à la tenue des dossiers du conseil d’administration et à leur structure de classement.
  • S’occuper de la programmation des réunions de l’équipe de direction et d’autres réunions, le cas échéant, de l’établissement des ordres du jour et de la rédaction des procès-verbaux des réunions.
  • En étroite collaboration avec l’équipe de la direction principale, revoir les priorités du service, mettre à jour (au besoin) les livrables des plans annuels et stratégiques qui ont été établis par la direction sur les plateformes ou les documents pertinents, et ce, de manière régulière.
  • Aider à l’organisation des événements et des retraites du service et du conseil d’administration, notamment des retraites destinées à l’équipe de direction, à l’ensemble du personnel, et au conseil d’administration.
  • En étroite collaboration avec les services financiers et administratifs, coordonner les processus financiers, administratifs et organisationnels récurrents pour l’équipe de la direction principale afin d’assurer la fluidité du travail, notamment en aidant l’équipe des finances à obtenir les autorisations de signature nécessaires.
  • Épauler la direction générale et la direction principale des opérations dans la gestion du budget, y compris les contrats ainsi que le suivi des dépassements et des écarts de budget.
  • Effectuer le traitement des dépenses de manière précise et diligente pour permettre une transparence dans le suivi et les rapports financiers.
  • Assister la direction principale dans la gestion des relations avec l’extérieur (p. ex., fournisseurs, donateur.trice.s et demandes générales).
  • Aider les membres de l’équipe à se former à l’utilisation des outils et des formulaires financiers et à se conformer aux politiques et aux procédures administratives établies par l’organisme.
  • Assurer la tenue et la mise à jour de la base de données et des systèmes de classement administratifs du service.
  • Effectuer des recherches et formuler des recommandations sur des tâches ou des projets spéciaux, le cas échéant.
  • S’acquitter d’autres tâches, selon les besoins

Education & Experience

  • 3-5 years of progressive senior executive administrative experience.
  • Experience supporting C-level leaders an asset.
