Office Administrator

iT1, a leading national technology solution provider headquartered in Tempe, AZ, is looking for a dynamic, motivated, individual to join our growing team as an Office Administrator! iT1 has been recognized by the Phoenix Business Journal's "Best Places to Work" in Arizona for the past 12 years. As the Office Administrator, you will be responsible for the organization and efficiency of daily office operations. From scheduling meetings, to communicating between departments, you will be responsible for completing multi-level tasks in a professional and timely manner. Qualified candidates will have experience working with the city for building code compliance, lawn maintenance, working with contractors for AC, alarms, security, understanding lease agreements, and overall management and upkeep of the facility.

Administrative Responsibilities:

  • Ensure adherence to relevant company procedures and policies.
  • Coordinate and oversee all office activities, including managing inbound calls and emails.
  • Keep databases up to date.
  • Provide support to the Operations Team as needed.
  • Assist with CIOCS Clins data entry.
  • Perform additional duties/projects as assigned.

Guest and Employee Services:

  • Provide office guests with a hospitable experience and build relationships with Partners when in office.
  • Set up weekly catering for office (Tuesdays and Thursdays) and manage the Relish App for employees.
  • Place catering orders onsite/offsite for company meetings and events.
  • Order and maintain inventory for employee drinks/snacks for office and warehouse.
  • Book travel for employees through AMEX Portal and provide support to travelers with booking issues (currently using AMEXGBT)
  • Schedule monthly onsite massages.
  • Oversee ordering quarterly gifts, flowers for occasions, tenure awards, etc. for employees.
  • Oversee Employee Appreciation month activities.
  • Oversee inventory and order new hire swag.
  • Facilitate internal employee newsletters, update birthdays and anniversaries in SharePoint.
  • Provide oversight of internal and customer swag requests and shipping as needed.
  • Assist with larger in-house events such as Showcases and National Sales Meeting.
  • New Hire Set-up:
    • Order business cards for employees and create QR codes.
    • New hire onboarding email, desk setup, and gifts.
    • Working Advantage Administrator.

Office Maintenance and Safety:

  • Control inventory of office supplies and ensure they meet office needs.
  • Order labor law posters.
  • Responsible for office decorations for holidays throughout the year.
  • Maintain safety by keeping the office clean and clear of obstacles.
  • Oversee the overall well-being of the building by supervising the maintenance of office areas, equipment, and facilities.
  • Oversee the cleaning crew and cleanliness of office space.
  • Manage vendors and sub-contractors, research new vendors, get quotes, etc.
  • Monitor security cameras and security system.
  • Control schedule for the alarm system.
  • Create internal badges for building access.
  • Interact with IT, phone, and building personnel as needed.
  • Manage facility contracts/relationships and city requirements.
  • Coordinate and participate in office space planning, maintenance, and renovations as necessary.

Job Qualification Requirements:

  • Previous working experience as an Office Administrator for 3-5 years
  • Previous Property Management experience 3+
  • Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
  • Excellent written and verbal communication skills
  • Ability to multi-task, organize, and prioritize work
  • Outstanding communication and interpersonal skills
  • Excellent organizational and time management skills
  • Knowledge of office management and accounting processes
  • Hands-on experience with office management computer programs (such as ERP)
  • Attention to detail
  • Willingness to achieve IT certifications based on company needs

Physical Demands May Include:

  • Lifting or carrying up to 50 lbs.
  • Standing for long periods of time
  • Climbing (ramps, stairs, or ladders)
  • Sit at a computer for up to 8 hours per day
  • Keyboarding for up to 8 hours per day
  • Reaching Overhead

Job Location:

  • Onsite Mon – Fri 8 AM – 5 PM at the Tempe office location

  • Retirement: 401K Plan with company match (eligible after 1 year of employment)
