JOB SUMMARY

The MRI Research Assistant Supervisor is the UBC MRI Research Daily Operations MRI Supervisor and provides relief coverage for the MRI Research Manager.   The MRI Research Assistant Supervisor is responsible for the coordination of daily routine research and staffing activities of the clinical MRI research facilities of UBC MRI Research.  Practices in accordance with the standards of MRI professional practice within a research MRI facility operated by the University of British Columbia (UBC MRI Research). Also is UBC MRI Research’s alternate MRI Safety Officer. 

Organizational status

UBC MRI Research is located at the UBC Vancouver Point Grey Campus, UBC Hospital Site.  Directly reports to the MRI Research Manager.

Work Performed

1. Supervises and coordinates the daily routine technical and staffing activities for assigned area when delegated to do so by the MRI Research Manager. Assists with troubleshooting of equipment, facilitates workplace solutions with other personnel, troubleshoots other work-related issues and consults with the management team, research staff and other technical team members as required to ensure services are performed in an effective, safe and cost-effective manner.

2. Participates in or stands in for the MRI Research Manager on committees responsible for the oversight of operations at the UBC MRI Research Facility in the following areas: evaluation and approval of research projects at the Facility, the training of non-MRI Technologist in MRI techniques and patient care, UBC Lab Operations Safety, UBC MRI Research Core Committee. 

3. Responsible for implementing approved research projects when directed by the MRI Research Manager.  This can include project specific training as required by industry-funded clinical trials, MRI sequence development, standardizing protocols in accordance with multicentre study parameters or clinical trials specifications, ensuring the MRI sequences used match the requirements of each study, tailoring data acquisition workflow to maximize the reproducibility of data collected by different scanner operators and across longitudinal time-points. Reports complex issues to the Research MRI Manager and works with them to resolve.

4. Provides guidance and feedback on routine tasks to MRI Technologist staff during daily operations.  Reports ongoing staff performance issues to the MRI Research Manager. 

5. Participates in recruitment of team members in collaboration with the management team and other designated personnel by participating on interview panels for staff selection and providing recommendations regarding evaluation of candidates to facilitate optimal hiring decisions.

6.  Participates in the training of Non-Technologist MRI Personnel as delegated by the Research MRI Supervisor including onboarding and educational in-services.  Provides feedback to trainees during learning sessions and reports performance issues to the MRI Research Manager.

7. Ensures appropriate staffing coverage within the area, rearranges assignments to provide coverage in cases of unplanned staff shortages/absences.  Calls in relief staff as appropriate in accordance with established professional agreements.

8.Performs technical work as required by performing duties such as positioning research subjects, explaining procedures, operating imaging equipment in accordance with the approved research protocol and professional standards and procedures.  Operates/assists with the operation of ancillary research equipment as needed beyond routine scope of clinical MRI practice per the needs of the study being hosted.  Monitors patient during procedures and responds to emergent situations in accordance with facility policies and procedures.  May be required to perform cardiopulmonary resuscitation in the event of an emergency.

9. Reviews existing materials and procedures, provides input into revisions and new policies, requests input of team members, disseminates to team members when delegated by the MRI Research Manager.

10. As alternate MRI Safety Officer, oversees and monitors research MRI personnel compliance with accepted MRI safety practice and the Safety Policy of the UBC MRI Research Facility.  Upon delegation, updates engaged staff on changes to safety procedures, following up on safety recommendations and ensuring that staff are adequately trained and authorized to operate machinery and equipment. Reports identified problem areas to the MRI Research Manager.

11. Coordinates with service personnel regarding planned maintenance services and unplanned service calls.  Reports malfunctions to appropriate personnel for repair, maintains records of service, identifies processes to improve operations.

12. Participates in record-keeping and prepares reports as required on various activities for budgetary requirements and workload monitoring purposes.

13. Ensures inventory of supplies by checking supplies, identifying depleting stock and maintaining awareness of status and restrictions to ensure departmental needs are met within budgetary restraints.

15. Maintains knowledge of developments within area of practice and sets measurable goals and objectives within a team or individual environment, incorporating UBC MRI Research’s Mission Statement to pursue and facilitate exemplary MR research that advances knowledge in science and health.

16. Assists the MRI Research Manager with the ongoing dissemination and storage of research data in the study required file formats.  This includes the Facility’s PACS system, the UBC virtual server data archive and any required multicentre core lab data upload system.  Ensures the confidentiality of research subject data is maintained and access to this data is limited to the study Principal Investigators and their agents.  Responds to routine access requests, system issue troubleshooting, configures system workflow for users. 

17. Ensures a safe and healthy workplace for patients/clients and staff through effective orientation, training, promotion and monitoring of safe work practices and enforcement of health and safety requirements.  Reports unsafe situations, investigates and takes corrective action(s) and/or notifies appropriate personnel.

18. Participates in the departmental Continuous Quality Improvement/LEAN programs by using established monitoring and auditing methodologies to perform quality assurance checks such as patient/physician satisfaction or booking protocols.

19. Hosts facility tours, participates in and hosts media shoots in the suite, interacts with donors, contributes to newsletter articles and centre public profile events.

20. Performs other related duties as required.

Hours of Work
35 hour work week.  This position will work a rotation of extended hour shifts 4 days a week that mirrors the MRI Research Manager’s rotation.  Shifts will include evening hours.

Consequence of Error/Judgement
Effective management of the MRI Technologists is important to maintain the Facility’s operational accountability and effectiveness. Poor decisions about policy, staffing and a failure to get the work done in a timely and effective manner would lead to damage of the credibility of the Facility and consequently to the MRI Research Manager’s ability to perform their job well and could ultimately lead to a loss of revenue for the Imaging Facility. Incorrect interpretation of policies and procedures, collective agreements and manuals could cause personnel hardships, financial and operational difficulties.

Supervision Received
The incumbent keeps the MRI Research Manager updated through ongoing communication and weekly meetings. The Assistant Supervisor alerts the MRI Research Manager of any unusual situations which may affect the Facility or its members and keeps them advised of problems that have arisen or that can be anticipated.


Supervision Given
Assists with the management of MRI Technologists. Supporting training of highly qualified personnel (HQP).

Minimum Qualifications

Certification with CAMRT (Magnetic Resonance Imaging).

An undergraduate degree or an equivalent professional designation is required with a minimum of ten years of related experience

1 years supervisory and leadership, or an equivalent combination of education, training and experience.

Demonstrated knowledge of Medical Imaging theory and practice

Demonstrated knowledge of the standards of practice and guidelines for Diagnostic Imaging practitioners established by the CAMRT.

Demonstrated knowledge and practice of safe work procedures with radiology equipment.

Demonstrated knowledge of Hospital and Radiology Information Systems.

Demonstrated knowledge of PACS i.e. digital imaging, image archiving and retrieval.

Demonstrated computer skills including the ability to effectively manage a clinical and research computerized information system.

Demonstrated ability to function as an effective leader, motivator, facilitator, and team member.

Demonstrated ability to teach, demonstrate, facilitate, coach and mentor staff.
