Ironwood Gardens Apartments is now seeking a Renewal Specialist to join the team. Your role as a Renewal Specialist has dual responsibilities - those being to undertake the job duties of a Leasing Agent, and to have major responsibilities for all aspects of the renewal process. Leasing Agent duties include: the entire leasing process from introduction to actual occupancy which includes conveying the benefits of the apartment community. as a representative of the company to potential residents with the goal of maximizing occupancy and overall profitability. Renewal Specialist duties include: organizing and implementing the renewal process from the offer to the follow-up to signing the renewal lease. You are a representative of the company to potential residents. Your main goal is to retain residents and maximize occupancy and profitability.

Job Title: Renewal Specialist/Leasing Agent                                 

Department:  Leasing

Reports To:  Property Manager and Assistant Property Manager

Effective Date: November 27th, 2023

 

General Summary:

      This position has dual responsibilities - those being to undertake the job duties of a Leasing Agent, and to have major responsibilities for all aspects of the renewal process. Leasing Agent duties include: the entire leasing process from introduction to actual occupancy which includes conveying the benefits of the apartment community. as a representative of the company to potential residents with the goal of maximizing occupancy and overall profitability. Renewal Specialist duties include: organizing and implementing the renewal process from the offer to the follow-up to signing the renewal lease. You are a representative of the company to potential residents. Your main goal is to retain residents and maximize occupancy and profitability.

 

Compensation: Non-exempt/Hourly. Position eligible for overtime. Bonuses are based on on-site compensation plan

 

Essential Functions:

  • Lease apartments and aggressively sell products/services of the property. Develop, refine and effectively implement excellent telephone personal sales skills. Specifically, respond to site visits or telephone inquiries, conduct site tours, sell to Prospects and lease apartments. Work to optimize occupancy while maximizing effective leased rent. Site tours include, but are not limited to: showcasing the amenities, models, and available apartments.
  • Work with property management staff to develop and implement sales and marketing strategies. Increase property traffic levels, maintain closing ratios, and work to achieve and exceed budgeted occupancy percentages.
  • Maintain thorough product knowledge of own property and that of major competitors through site visits/tour and telephone surveys.
  • Prepare all lease related paperwork in an accurate and timely manner. Be able to explain all lease documents to new and existing Residents. Ensure all documents are completed prior to Resident move-in.
  • Assist with initial move-in of new residents which includes lease preparation and signing, apartment inspection, processing of all required records; performing quality leasing interviews, emphasizing lease obligations, neighborhood services, and resident participation opportunities.
  • Follow established policy and procedures in the qualification, screening and acceptance for residency.
  • Fully explain the property policies as required.
  • Ensures that the property’s policies and procedures are being observed in the day-to-day activities of the resident selection and property management functions.
  • Maintain company customer service standards. Respond to Resident requests and work with residents to minimize and resolve resident problems and complaints. Follow through to ensure issues are resolved.
  • Maintain prospect, traffic and leasing data, as well as renewal data, and assist with other computer data as necessary.
  • Perform office work necessary to maintain the records on each resident.
  • Perform report preparation, file maintenance, documentation, and posts required notices.
  • Assemble and maintains resident files, both electronic and paper.
  • Oversee the required process and documentation for lease renewals, transfers and new move-ins.
  • Follow the property lease renewal program. Pull and evaluate renewal rates within Yield Star, evaluate and work with Property Manager and Yield Star consultant to approve rates. Generate and review renewal offer letters sent to residents. Track and document short term leases that require additional attention.
  • Maximize resident renewals. Distribute renewal incentives weekly, updating documentation as intentions are received. Enter work order requests for incentives, schedule work with property management and the resident, inform management of any gift card incentives needed. Communicate via phone and email with reminders of upcoming renewal deadlines.
  • Confidently communicate renewal options, buyout policies, and any pricing issues that may arise. Effectively address any complaints and/or issues with renewals using conflict resolution techniques.
  • Enter correct renewal term per resident’s request into system to generate renewal leases. Responsible for emailing or delivering renewal leases to door.
  • Correctly enter Notice to Vacate into system in timely fashion. Send out all move out notices monthly.
  • Deliver resident gifts, inspect units on move-in day to ensure units are ready.
  • Inspect grounds regularly; enforce lease requirements on yard care, trash disposal and junk cars.
  • Assist with planning/hosting resident functions.
  • Participate in company training classes as required.
  • Work with Property Manager to drive all marketing programs, campaigns, and vendor relationships in accordance with market surveys and company sales goals.
  • Transport funds to bank as required by Company policy.
  • All other duties as assigned by supervisor.

  • Working knowledge of all services and facilities of the company.
  • Ability to assist tenants and prospective tenants in an effective manner.
  • Ability to fully follow supervisor’s directions.
  • Ability to remember and recite company promotions and information.

 

Qualification Standards

      Communication:

Strong communication skills.  Skills should include the ability to deal effectively with vastly diverse groups of people and clients.

Education:

Preferred:  High School Diploma

The position does require the ability to read and write English fluently, and the ability to perform basic to intermediate mathematical functions.

Licenses or Certificates:

Required: A valid driver’s license and current automobile insurance.

Appearance:

             All employees must maintain a neat, clean and well-groomed appearance.

Attendance:

Position requires the ability to work any of the seven days of the week, 52 weeks of the year. Due to the property staff limitations, it is extremely critical that individuals possess the ability to work their scheduled hours on a consistent basis and overtime hours when required.
