Special Events Assistant (Temporary)

Assist the Special Events team through June 6, 2025, the end of the current spring season. Provide administrative support as outlined below.


Primary Responsibilities
  • Provide general office support for department, answer phone line and monitor messages in Special Events email box.
  • Assist in processing and tracking of performance and dinner orders for galas and for spring donor weekends for National Patrons and Internation Council
  • Make confirmation calls to event guests
  • Assist on-site with all event logistics on days of events 
  • Help produce and mail contribution tax receipts
  • Assist with payment of vendor invoices
  • Assist with two black-tie galas, annual Board luncheon, patron talks and master classes, events for major corporate partners, young-donor evenings


Skills and Qualifications
  • Bachelor’s Degree
  • Ideally 1-2 years professional event experience
  • Excellent written and oral communication skills
  • Strong math, computer and database skills – familiarity with Tessitura a plus
  • Familiarity with opera helpful but not required
  • Highly organized and detail-oriented
  • Diplomacy, poise, and excellent judgment
  • Ability to meet deadlines and multi-task
  • Ability to move or transport small boxes and supplies, weighing up to 30 pounds, within the opera house and to select outside events
  • Available for occasional evening and weekend work.
  • Average availability 25-40 hours per week


$24 - $26 an hour
