REPORTS TO:                     Director, Programs & Impact

Since 1999, WomenHeart: The National Coalition for Women with Heart Disease has been the nation’s only patient-centered organization solely devoted advancing women’s heart health through patient support, community education, and advocacy. WomenHeart is both a coalition and a community of thousands of members nationwide, including women heart patients and their families, health care professionals, health advocates, all committed to helping women live longer, healthier lives. This organization is poised for rapid expansion and leadership in the field.

Position Summary:

The Senior Programs Support Associate plays a key role in ensuring the success of WomenHeart’s volunteer and programmatic initiatives. This position oversees key aspects of the WomenHeart Champions program, including engagement, continuing education, and evaluation, while also supporting broader programmatic initiatives and special projects. The Senior Associate helps ensure smooth program execution by tracking deliverables, managing timelines, and coordinating with team members and consultants. Additionally, they play a lead role in program evaluation, data analysis, and workflow documentation to improve efficiency and impact.

Duties & Responsibilities:

WomenHeart Champions & Programmatic Support

  • Oversee key aspects of the WomenHeart Champions program, ensuring engagement, training, and support structures are effectively implemented.
  • Ensure processes for Champion communication, mentorship, office hours, and support networks are running smoothly, working closely with the Programs Support Associate to maintain consistency and quality.
  • Lead the development and implementation of continuing education programs for Champions, ensuring training remains relevant and impactful.
  • Support broader programmatic work by helping manage projects, track deliverables, and collaborate with team members and consultants to ensure successful execution.
  • Represent the program team in meetings and collaborations as appropriate, serving as a key point of contact for program-related discussions.

Program Evaluation & Data Oversight

  • Lead program evaluation efforts, working with the Programs Support Associate to ensure accurate data collection and reporting.
  • Analyze data to track program impact, engagement, and effectiveness, using insights to guide improvements.
  • Ensure evaluation mechanisms are in place to measure program outcomes across initiatives.

Project & Workflow Management

  • Maintain and refine workflow processes to improve efficiency and maintain institutional knowledge.
  • Ensure program processes are well-documented and that implementation is aligned with best practices.
  • Help coordinate special projects and initiatives, ensuring deadlines and deliverables are met.

Science & Leadership Symposium Leadership

  • Play a lead role in supporting, planning, and executing the Science & Leadership Symposium, including:
    • Participant recruitment and engagement
    • Curriculum development and program planning
    • Coordination with faculty and expert Champions
    • Supporting logistics in collaboration with event planners and team members

Operations & Inventory Liaison

  • Work with the operations team to ensure program-related inventory needs are monitored and fulfilled in a timely manner.

Qualifications:

  • 3-4 years of programmatic experience, preferably with volunteer-based and/or patient support organizations.
  • Strong organizational and project management skills, including tracking deliverables and ensuring deadlines are met.
  • Experience in program evaluation, with proficiency in analyzing data and reporting on program impact.
  • Excellent verbal and written communication skills, capable of engaging diverse stakeholders and maintaining a strong and open line of communication in a remote environment.
  • Ability to work independently and collaboratively in a team environment, including demonstrated ability to contribute meaningfully to a team environment by collaborating effectively and bringing proactive solutions.
  • Commitment to respectful and solution-focused communication in all interactions with colleagues, volunteers, and external partners.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook), Canva, and willingness to learn to operate other systems.
  • Must be available for some travel and occasional evening/weekend work.
  • Preference for candidates with a background in public health.
