Field Trip Coordinator & Payroll Administrator

The Field Trip Coordinator & Payroll Administrator is a hybrid role that combines the responsibilities of coordinating field trip and charter operations with managing payroll functions. This role requires exceptional organizational skills, attention to detail, and the ability to work cross-functionally with internal and external stakeholders to ensure smooth trip execution and accurate payroll processing.


Responsibilities (Field Trip Coordination)
  • Receive and process field trip and charter business orders via email and phone.
  • Provide customers with accurate pricing and trip details.
  • Enter and record trips into the company’s database system.
  • Determine optimal routing, assign driver coverage, and communicate trip details to drivers and dispatchers.
  • Generate and maintain trip reports for location management and stakeholders.
  • Handle customer communication, invoicing, and payment tracking.
  • Coordinate with maintenance to ensure vehicle availability for scheduled trips.
  • Maintain compliance with company policies and regulatory requirements.
  • Address customer inquiries and escalate unresolved issues to management.
  • Perform general office duties including report generation, documentation, and correspondence.


Payroll Administration
  • Manage timesheets for union and non-union employees, ensuring accuracy and compliance.
  • Process a minimum of 60 Driver Bus Reports (DBRs) and meet payroll deadlines.
  • Work across multiple payroll and timekeeping platforms to ensure accurate record-keeping.
  • Maintain compliance with district and union payroll policies.
  • Collaborate with internal teams, including HR, Billing, and Operations, to facilitate payroll processing.
  • Calculate pay discrepancies, resolve payroll-related inquiries, and ensure adherence to labor contracts.
  • Support HR with onboarding activities, including documentation collection and payroll system setup.
  • Maintain strict confidentiality in handling payroll and employee records.
  • Ensure payroll adjustments are properly documented and communicated to relevant parties.
  • Support training initiatives by keeping payroll and trainee databases updated.


Qualifications & Requirements
  • High school diploma or equivalent; college coursework preferred.
  • 3-5 years of experience in a customer service, administrative, or payroll-related role.
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and ability to learn new systems quickly.
  • Experience in transportation, logistics, or a similar industry preferred.
  • Strong verbal communication and telephone etiquette skills.
  • Ability to prioritize tasks, meet deadlines, and handle multiple responsibilities effectively.
  • High attention to detail and accuracy in data entry and payroll processing.
  • Strong problem-solving and decision-making abilities.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.
  • Knowledge of union payroll policies and collective bargaining agreements (CBAs) is a plus.
  • Experience with routing and dispatching software is an advantage.


Compensation & Benefits
  • The targeted pay range $80-87k annually (based on experience, skills, and location).
  • Additional compensation may include bonuses, equity, or commissions.

The targeted base salary range for this role is listed in the compensation section below.
