Reports to the Senior Operations Manager

Job Summary

As part of the OPEN Health Operations team, Senior Operations Executives develop and implement systems and processes; plan, project manage and execute internal project work; provide accurate and efficient data management support; and deliver new initiatives to improve our overall ways of working, drive excellence and alignment, and improve efficiency and profitability

Essential Duties & Responsibilities

  • Contributing to Operations team planning by putting forward suggestions for change and improvement
  • Collaborating with the Operations team to deliver new initiatives, develop and implement central processes/policies/systems and improve our overall ways of working, driving excellence and improving efficiency and profitability
  • Organizing and managing the administration, support systems and activities that facilitate the effective running of the business, including being a central point of contact for ad hoc queries and business support requests, including but not limited to the daily management and triage of the Knowledge Management and Client Information Requests inbox  
  • Liaising with stakeholders across the business and facilitating alignment and seamless collaboration between central functions and client-facing staff, including but not limited to supporting client-facing staff with the completion of Requests for Information (RFIs)
  • Effectively coordinating, overseeing, project managing and executing assigned projects, developing business cases and project plans, working with team lead to obtain senior leadership approval, providing ongoing status reports, and independently making decisions and resolving problems in order to remove roadblocks and drive projects forward
  • Providing accurate and efficient data and information management support, including but not limited to maintaining Business Development resources, supplying client delivery teams with relevant Business Development resources to complete Requests for Proposal (RFP), and client insights and intelligence reporting.
  • Supporting the effective operational onboarding and integration of new acquisitions
  • Maintaining knowledge of OPEN Health systems, processes, resources, teams and business objectives, in order to align approach for assigned projects with wider OPEN Health business needs

Experience, Skills and Qualifications

  • Experience in a medical communications, healthcare agency or pharmaceutical industry
  • Strong project management experience
  • Ability to understand a complex situation and provide confident recommendations for a positive outcome
  • Confidence and proactivity, with a desire to exceed expectations
  • Ability to multitask and prioritise; excellent time management skills
  • Excellent written and verbal communication and interpersonal skills
  • Attention to detail
  • Ability to work independently and as part of a team
  • Competence in using Microsoft 365 suite
  • Ability to confidently and effectively interact with a variety of stakeholders 

Travel Requirements

  • As required by business needs 
  • Occasional travel to OPEN Health office locations
