Job Description

The Analyst for the Third Party Conference Team is a key member of the Client Marketing & Events (CPS) group, responsible for supporting the Conference Planners in the execution of third party conferences. This role involves assistance with PowerPoint deck creation, Outlook Calendar management, sourcing venues for hosted dinners, tracking of shipments globally and managing expense submission and conference budget reconciliation.

*This role is hybrid, working remotely two days per week.

*This role supports a private equity mega-fund client of RR Donnelley as part of our outsourced services.

  • Assist in the development and ongoing updates of presentation event decks throughout the planning production of larger third party conferences
  • Arrange and manage calendar invites for all complex working groups, including scheduling and rescheduling calls as necessary with key stakeholders
  • Source and manage hotel rooming blocks for complex events and managing reservations changes/updates throughout planning production
  • Research and source restaurant venue options, checking availability, creating a proposal of venue options
  • Collaborate with team members to track shipments and ensure all items arrive on time without customs issues
  • Assist with preparing and submitting expense reports of Team AMEX Meeting Card
  • Track and monitor invoices and contracts to ensure timely response/payment
  • Collect and compile all post-event receipts from planners for accurate tracking

Qualifications

  • High School Diploma or GED (Bachelor’s degree in marketing, communications, business administration, event planning/hospitality, or a related field preferred).
  • 5+ years of experience in event planning, preferably within financial services
  • Advanced knowledge of technology, including computers and software programs such as Microsoft Office or MAC word processing, spreadsheets, or other job-specific programs.
  • Proficiency in tools such as Zoom Meeting and Cvent (preferred).
  • Strong organizational skills with the ability to manage deadlines, prioritize workload, and adjust to meet business needs.
  • Excellent oral and written communication skills to collaborate effectively across departments.
  • Strong project management skills with the ability to handle multiple tasks and meet tight deadlines in a fast-paced environment.
  • Excellent budgeting skills, with the ability to manage, monitor, and reconcile budgets effectively.
  • Highly detail-oriented with a commitment to ensuring accuracy and high-quality results.
  • Accountable, results-driven, and able to take ownership of responsibilities.
  • Excellent knowledge of functional areas related to the job or good knowledge of a professional field of work.
  • Able to consistently apply policies, procedures, regulations, and program objectives effectively.

Additional Information

The national pay range for this role is $51,800 to $85,300 annually. The pay range may be slightly lower or higher based on the geographic location of the hired employee. The actual pay offered may vary based upon, but not limited to: education, skills, experience, proficiency, performance, shift and location. In addition to base salary, depending on the role, the total compensation package may also include participation in a bonus, commission or incentive program. RRD offers benefits including medical, dental, and vision coverage, paid time off, disability insurance, 401(k) with match, life insurance and other voluntary supplemental insurance coverages, plus tuition assistance, maternity leave, adoption assistance, and employer/partner discounts.
