We are currently seeking a talented Workforce Management Coordinator to join our team. The Workforce Management (WFM) Coordinator is responsible for supporting clinician scheduling, onboarding, and program coordination for telehealth services. This role plays a key part in ensuring clinicians are effectively onboarded, scheduled, and supported across multiple programs while maintaining accurate data tracking and communication. The ideal candidate is detail-oriented, proactive, and able to manage multiple tasks in a fast-paced environment. Reporting to the Sr. Director, Workforce Management, this position offers an exciting opportunity to work with different teams and impact the success of our company. This is a hybrid role in which you will be located in the St. Louis, MO area.

Clinician Scheduling & Workforce Management

  • Assist in matching clinician availability with telehealth program needs.
  • Utilize scheduling software to manage clinician assignments, track coverage, and address schedule gaps.
  • Monitor the WFM queue, ensuring clinician support requests (e.g., shadow sessions, offboarding tickets) are handled promptly.

Onboarding & Training Coordination

  • Lead the onboarding process for new clinicians, including account setup, training assignments, and scheduling shadow sessions.
  • Track and ensure clinician onboarding progress, coordinating follow-ups as needed.
  • Coordinate training sessions with internal and external trainers, ensuring completion and compliance with program requirements.

Data Management & Reporting

  • Submit clinician program assignment forms and maintain clinician profiles, including outreach for intake forms and headshots.
  • Compile and analyze reports on clinician utilization, program coverage, and scheduling effectiveness.

Communication & Program Support

  • Maintain clear and timely communication with clinicians regarding schedules, program updates, and requirements.
  • Provide outreach support for programs as needed, ensuring clinicians are aware of deadlines and expectations.
  • Support special projects, Jira tickets, and process improvement initiatives.

Education: High school diploma or equivalent required. Associate’s degree or higher in Healthcare Administration, Business Administration, or a related field preferred.

Experience: At least one year of experience in a healthcare operations, workforce management, scheduling, or administrative role preferred.

Skills:

  • Strong organizational and time management skills.
  • Excellent verbal and written communication.
  • Ability to multitask and prioritize in a dynamic environment.
  • Detail-oriented with a focus on accuracy in scheduling and data entry.
  • Proficiency in Microsoft Office Suite, Google Workspace, and telehealth scheduling software (or willingness to learn).
  • Ability to adapt to changing schedules and telehealth program needs.
  • Comfortable working independently and in a collaborative team environment.
