Job Summary: We are seeking a detail-oriented Payroll and Finance Administrator to manage and process payroll, grant hours tracking, Employee Stock Purchase Program (ESPP) administration, and general data entry. The ideal candidate will have strong organizational skills, a deep understanding of payroll systems and processes and the ability to handle confidential information with professionalism and accuracy.
Key Responsibilities:
Payroll Administration:
-Process payroll for all employees on a bi-weekly basis, ensuring accurate calculation of wages, overtime, bonuses, and deductions.
-Maintain and update employee payroll records, including tax withholdings, benefit contributions, and deductions.
-Ensure timely submission of payroll taxes and other related filings (e.g., federal, state, local taxes, and insurance premiums).
-Handle employee inquiries regarding payroll discrepancies, benefits, and deductions.
-Coordinate with HR to update employee pay rates, tax statuses, and other payroll-related changes.
Grant Hours Tracking:
-Track and maintain records of employee grant hours and related contributions.
-Work with program managers and team leaders to ensure accurate allocation of hours worked against grants.
-Prepare reports for finance and project management teams to ensure compliance with grant requirements and budgets.
-Reconcile grant hours to ensure alignment with fund allocation and reporting deadlines.
Employee Stock Purchase Program (ESPP) Administration:
-Assist in the Administration of the company’s ESPP, including enrollment, participation, and deduction management.
-Ensure accurate and timely processing of employee stock purchases, ensuring compliance with the plan rules and regulations.
-Generate reports related to ESPP contributions and employee balances.
-Provide guidance and support to employees with respect to the ESPP process.
Data Entry and Record Maintenance:
-Input financial and payroll data into accounting systems with high levels of accuracy.
-Maintain and update financial records, ensuring all data is current and properly categorized.
-Assist with month-end and year-end close processes by providing data for financial reporting.
General Administrative Support:
-Provide general administrative and clerical support to the finance team, including organizing documents and preparing financial statements.
-Assist with audits and other regulatory inquiries as needed.
-Help maintain and improve finance processes and systems for better efficiency.
Skills and Qualifications:
Experience:5+ years of experience in payroll administration, finance, or data entry roles; prior experience with grants or stock purchase programs is a plus.
Knowledge: Strong understanding of payroll processes, tax regulations, and financial recordkeeping. Familiarity with ESPP or employee benefit programs is beneficial.
Technical Skills: Proficiency in Microsoft Excel, payroll software (e.g., ADP, Paychex), and financial systems. Experience with accounting or ERP software (e.g., QuickBooks, SAP) a plus.
Attention to Detail: Ability to manage large volumes of data with high accuracy and precision.
Communication: Excellent written and verbal communication skills to interact with employees and other departments.
Organization: Strong organizational skills, with the ability to manage multiple tasks and deadlines.
Work Environment: Occasional overtime may be required during payroll cycles or audit periods.
