Account Coordinator

Job Title: Order Entry Specialist


Job Description

We are seeking an Order Entry Specialist who will communicate across a large cross-section of customers, as well as internally with the Purchasing, Sales, Operations, Logistics, and Accounting Departments. The role involves maintaining close working relationships with warehouse and freight carrier contacts regarding customer orders. The candidate will positively contribute to a team environment and provide backup support/coverage for other Customer Service Representatives when necessary.

Responsibilities

  • Receive a high volume of incoming orders via telephone, email, and fax, and input order details accurately into a complex business system (SAP).
  • Research customer requests and follow up in a timely manner.
  • Respond to inquiries from customers regarding product availability & status, shipping details, invoices, returns, literature requests, proof of deliveries, terms of contracts, order status, and sample requests.
  • Reconcile purchase order and order discrepancies in a timely manner.
  • Run and review reports on a daily basis, and additionally when requested.
  • Provide time and input to special projects as assigned.
  • Help develop processes and procedures to more effectively and efficiently perform job duties, and aid in compliance.
  • Work with Account Managers on any customer updates or specific customer questions.
  • Handle a book of consistent business, managing 200-250 customers at a given time.

Essential Skills

  • Minimum of 1-2 years of customer service experience accompanied with a professional phone demeanor.
  • High school diploma or equivalent.
  • Proficiency in Microsoft Word and Microsoft Excel; SAP experience preferred.
  • Working knowledge of Excel and ability to perform basic formulas (SUM, AVG, etc.).
  • Strong attention to detail, high degree of accuracy, and strong organizational skills.
  • Ability to handle a fast-paced, stressful environment; multitasking and problem-solving skills are a must.
  • Strong team player.
  • Strong verbal and written communication skills.

Additional Skills & Qualifications

  • Experience in data entry and order entry.
  • Experience using SAP.
  • Experience with supplier and customer service.

Work Environment

This is a corporate environment with individual cubicles. The Order Entry Specialist will interface with Product Managers. Work hours are from 9:00am to 6:00pm. The company offers a great environment and culture, with potential for yearly bonuses and merit-based pay increases once hired permanently.

Pay and Benefits

The pay range for this position is $23.08 - $23.08/hr.
