DEPARTMENT:                 Administration

REPORTS TO:                  Director of Outreach and Communications

FLSA STATUS:                 Exempt

SALARY:                           $68,640 to $75,000 per year

TIME COMMITMENT:       Full-time (40+ hours/ week) Occasional travel, some weekend

                                           and evening work

ORGANIZATION PROFILE: Catholic Charities Diocese of San Diego was founded in 1919 to provide service to those in need, to be a witness to the scriptural values of mercy, to advocate for justice, and to call all people of goodwill to join in these efforts.  The agency responds to the needs of the poor in two counties of the Roman Catholic Diocese San Diego and Imperial.

 

POSITION DESCRIPTION: In partnership with the Director of Community Services, the Community & Volunteer Engagement Manager oversees a progressive program to increase community engagement and volunteer service for all agency programs. The administration of this program needs to be flexible and able to change with the needs of the agency.

 

ESSENTIAL FUNCTIONS:

·         Prepares exhibits, brochures, flyers, posters, and other materials for presentation to the public, community agencies,       
          support groups, and emergency management professionals.

·         Works closely with community members in promoting events and outreach activities.

·         Creates, develops, and implements volunteer recruitment campaigns, including the production of written informational
          and ducational materials that communicate pertinent volunteer services program objectives. Organize and coordinate the
          orientation and onboarding of volunteers.

·         Coordinate, schedule, plan, and implement all projects that involve individuals who are volunteering time. This includes
          but is not limited to adult, family, teen, school, and corporate groups
.

·         Keep simple records and make written reports including regular tracking of volunteer hours attendance, Outreach Events,
          and any other required reports needed by the Outreach & Communications Department.

·         Plans and implements team activities and projects targeted at vulnerable and underserved communities.

·         Develop rapport between the programs and administration to maximize faith-based and community engagement
          opportunities. Work with various community organizations to provide volunteers to assist programs throughout the
          organization.

·         Maintain open communication on all matters related to volunteers and community outreach.

·         Develop an effective system to track, research, and follow up on all matters related to this program.

·         Communicate with the leadership of Catholic Charities programs to learn what resources/support they need to serve their
          clients.

·         Gather information and draft client “stories” to capture the challenges and achievements of the people we serve and the
          team members and volunteers who serve them.

·         Research and implement innovative ways of using volunteers that will advance the agency’s mission. Develop and 
          maintain relationships within and external to the organization to promote the agency’s culture of philanthropy with an
          emphasis on volunteer and in-kind donation programs.

·         Oversee coordination of work with diocesan offices and parishes to promote human dignity and the social work of the
         Church and serve on diocesan committees as appropriate.

·         Responsible for the development and oversight of recruiting, screening, and placement procedures for individual and
          group volunteer applicants.

·         Manage the agency’s volunteer database, ensuring the system is flexible and can handle a large number of volunteers
        . Draft and implement procedures related to the maintenance of volunteer files.

·         Monitor and manage community engagement and volunteer outcomes, providing statistical information and/or reporting
          regarding their progress and the current status of our volunteer pool and community engagement program.

·         Develop and implement training modules for volunteers, agency staff, and other stakeholders regarding the use of
          volunteers and their placement on our teams. Ensure that volunteers continue to provide assistance while adhering to 
          local, state, and federal requirements.

·         Create, implement, and manage volunteer retention/appreciation programs. Develop a feedback system/program for our
          volunteers so they know how they are performing.

·         Create and implement an appreciation program for staff members that support the volunteer program.

·         Mediate all issues related to volunteers, including the replacement or removal of volunteers as warranted.

·         Draft and implement the budget for community engagement and volunteer programs. Some of the budgeting you will   
          need are forecasting and developing guidelines for these programs.

·         Demonstrate administrative and leadership acumen in the following areas: finance, budgeting, information systems
          utilization, and grievance/complaint resolution.

·         Supervise and manage assigned staff in accordance with agency personnel practices.

·         Demonstrate knowledge in recruiting, training, performance evaluations, and performance management and discipline.

·         Provide oversight and guidance for volunteers in their various programs.

·         Promote a commitment to excellence and continual quality improvement to ensure the highest quality of service to our
          staff and clients.

·         Performs other duties as assigned.

·         Create and oversee volunteer database and tracking systems to safeguard accuracy and access to volunteer data.

·         Develop and manage a comprehensive community engagement/volunteer plan that supports agency’s goals. The plan
          should include events, media relations, PR materials, social networking, an Annual Report, CCDSD website coordination,
          newsletters, and assist with agency branding.

·         Review, select, and order culturally appropriate educational material.

·         Produce documents, briefing papers, reports, and presentations for the Director of Community Services.

·         Develop and oversee the Community Engagement and Volunteer Services budget.

·         Ensure the Volunteer and Community Engagement Team uses agency resources (financial and non-financial) prudently.

·         Acknowledge and follow Catholic Charities Diocese of San Diego’s fiscal policies.

·         Repesent Catholic Charities Diocese of San Diego in a positive and professional manner in meetings, community events,
          and conferences.

·         Collaborate and communicate with all Catholic Charities’ staff, board members, and donors in a manner that supports our
          message and branding when asking for item solicitations.

·         Assist with the development and maintenance of agency Standard Operating Procedures (SOP) and Program Policies 
          and Procedures.

·         Supervises and manages assigned staff in accordance with agency personnel practices including recruitment, training,
          performance evaluation, guidance, etc. Participate in the process of ongoing personal and professional development.

·         Adhere to all agency policies and procedures.

    QUALIFICATIONS:

     

    ·         Bachelor’s/Associate’s Degree and/or 3+ years of experience working with and overseeing large numbers of volunteers.

    ·         Bilingual in English and Spanish (Desired)

    ·         Must embrace the social justice Mission of Catholic Charities.

    ·         Knowledge of Catholic Social Teaching, basic theology, and structure of Diocese and Parish relationships.

    ·         Ability to multi-task, meet multiple conflicting deadlines, and maintain a mission-oriented perspective.

    ·         Strong verbal and written communications, listening and presentation skills.

    ·         Ability to work productively with colleagues on behalf of the Community Services Department.

    ·         Excellent communication and organizational skills.

    ·         Must be flexible, find creative solutions, and be proactive in managerial approach.

    ·         Must be sensitive to cultural differences within the agency and community.

    ·         High proficiency in Microsoft Office Applications (Word, PowerPoint, and Outlook) as well as experience with related
             database applications, such as Microsoft Dynamics.

    ·         Must be willing to travel to various locations within the Diocese of San Diego. This position requires frequent driving,
             partners, and public speaking engagements.

     

    CERTIFICATES, LICENSES, AND REGISTRATIONS:

    ·         Valid California Driver’s License

    ·         Current automobile insurance in compliance with Agency requirements

    PHYSICAL DEMANDS:  The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
