The Senior Payroll Administrator is responsible for all aspects of payroll, to include preparing and processing weekly and bi-weekly, multi-state, 1000+ employee payroll. This person will be the sole processor and manage all functions of payroll which includes ensuring the integrity and entry of all payroll data related to employees.
Core Role Responsibilities- Payroll Processing to include leading and executing end-to-end payroll process, including calculations, changes, time and attendance, leaves of absences, tax updates, etc. Investigating and resolving all payroll and tax-related discrepancies and issues
- Responsible for Month-End, Quarter-End and Year-End procedures to include all reconciliations, audit wage reports, and validate tax information; perform adjustments as necessary
- Responsible for Payroll Reporting and Auditing, identifying discrepancies and implementing corrective actions as needed, maintaining payroll records, review and audit master file and pay data entries, to-date totals, and file amendments as well as other tasks necessary for accurate payroll reporting and audits.
- Ensure compliance with all federal, state, and local legal requirements by studying existing and new legislation; recommending best practices; enforcing adherence to requirements; advising management on needed actions
- Respond to/process legal inquiries, garnishments, verifications of employment and other payroll related mail
- Responsible for registering state and local tax ID’s in new markets and set up in payroll system
- Responsible for employee records to ensure tax set ups are accurate to avoid tax adjustments
- Responsible for generating, auditing and distributing timely W2s/W2Cs
- Manage payroll tax liabilities. Ensure accurate and timely filing of all payroll related taxes
- Resolve all tax fallouts and delinquencies
- Prepare miscellaneous reports for various departments and upper management
- Administer 401(k) program: ensuring accurate and timely transmissions to the vendor; support annual audit efforts
- Establish/maintain expertise and continued self-education on all system features and product releases; identify and recommend updates to payroll processing software, systems and procedures

- Develop, implement and maintain organizational tools, reports and tracking processes for internal records
- Collaborate with HRBP, Onboarding, and HRIS teams to ensure accuracy of employee and pay data changes such as new hires, terminations, promotions
- Work closely with the accounting function in reconciliation of payroll bank and general ledger accounts
Basic Qualifications- 6+ years’ experience managing and processing multi-state payroll for 1000+ employees using a substantive timekeeping and payroll system
- Minimum 2 years’ experience working with UKG/Kronos
Preferred Qualifications- Extensive knowledge of taxes, compliance and wage and hour laws
- Strong attention to detail and organizational skills and the ability to manage multiple priorities effectively
- Proficiency with full Microsoft Office Suite, especially Excel
- CPP or other Payroll certification
- APA membership
