Primary Purpose: This position, under the direction of an Assistant Registrar or above, will coordinate and implement student processes for records and registration. This position will assist in the implementation of new software and/or web-based tools as well as provide ongoing maintenance and support. This position will serve as a liaison between the Registrar’s Office, Information Technology Services (ITS) and campus stakeholders. Acting as a consultant, the individual plans and designs technological strategies for streamlining Registrar’s Office processes. Assist in the preparation & delivery of workshops and training programs. May interpret department policies for an area of responsibility. 

Job Description:

Coordinators serve as a resource to the Registrar's Office and Enrollment Services. They must be familiar with Department of Education and Board of Trustees policies and procedures governing the full life cycle of a student. Specific duties include:  

  • Coordinate ad hoc reporting & data processing including but not limited to gathering and organizing requests; retrieving data; and tracking interdepartmental communication to retrieve data as needed.  
  • Web page maintenance and analysis for data validity and integrity  
  • Provide first-level support for troubleshooting technical questions for internal and external partners within Registrar Office systems. Escalate and track inquiries to other departments as needed.  
  • Serve on project teams for systems implementation, provide ongoing system maintenance post-implementation, and coordinate testing for system upgrades. Identify opportunities to streamline and create efficiencies within current systems/processes. 
  • Assist with course scheduling and academic space management, as needed.  
  • Provide day-to-day support for Records and Registration. 
  • Assist with training and cross-training coworkers in various Records and Registration processes through creation and maintenance of process documentation and ad hoc training sessions  

Marginal Functions:

Commencement/graduation ceremony technical support is required.

  • Documented experience managing/coordinating technology-related projects in higher education (Admissions, Registrar, Financial Aid, Academic Advising).
  • Functional user experience with Ellucian Banner, Slate, DegreeWorks,and/or SQL report writing experience in a higher education environment, a plus.

Supervision Received:

General supervision. The incumbent develops procedures for performing a variety of complex duties within established guidelines; has considerable freedom while the work is in process and receives instructions on new assignments.

Level of Public Contact:

Initiates contact with faculty, and staff of the university on an as needed. Contact with parents, potential students, and partners in the community as appropriate.

Policy-making and/or Interpretation:

This position is responsible for maintaining, understanding and applying knowledge of all federal regulations and state statutes pertaining to student records including, but not limited to FERPA.

Program Direction and Development:

Assist director/manager with writing, training, and administering policy and procedures for registrar's office processes.

This position has been designated as a Campus Security Authority (CSA). This position has been designated as a CSA because it involves significant responsibility for student and campus activities and/or responsibility for campus security. As such, any person in this position must report to the University Police Department a crime or an incident that might be a crime that he/she becomes aware of. This position has a reporting requirement because the University believes that responsibility for students, campus activities and/or campus security will make the holder of this position someone members of the University community will see as an authority figure and someone to whom they can seek help. A CSA is not expected to investigate or determine whether a criminal incident actually took place. A CSA’s responsibility is a duty to report. All positions designated as CSAs are required to complete an online or in-person training session. For more information concerning the training sessions or CSAs, please contact the University Police Department at (904) 620-2800 or the Office of the General Counsel at (904) 620-2828.


The holder of this position is designated as a “Responsible Employee” pursuant to their role under Title IX. Therefore, the incumbent must promptly report allegations of sexual misconduct, sexual violence, and child sexual abuse by or against any student, employee, contractor, or visitor to the University’s Title IX Administrator or any divisional Title IX Coordinator.

This position has daily access to confidential student records of both a personal and academic nature and carries a high degree of responsibility for the confidentiality of all student records.
