Executive Assistant

Description

Provide complex administrative and project support to the CEO and Senior Management Team of the Bank. Responsible for oversight of executive administrative support, including supporting the Board of Trustees and supervising an Administrative Assistant.

  •  Responsible for administrative operations including, but not limited to, office and administrative support, communications support, and project management support.
  •  Schedule appointments, arrange meetings, draft and edit correspondence and reports. 
  • Provides oversight of the Executive Administrative function through individual contributions as well as supervision of an Administrative Assistant. Provides performance management, feedback and ongoing coaching to the Administrative Assistant.
  • Takes the lead on various projects/needs and acts in a pro-active manner in support of the Executive function.
  •  Partners with Communications and Engagement team in planning and managing bank wide activities, such as the Annual Meeting, Block Party, etc…
  •  Establish and maintain organized paper and electronic filing systems according to office procedures to ensure the expeditious retrieval of information.
  • Maintain CEO and Board calendars based on knowledge of goals and priorities.
  •  Record and prepare minutes for the Board of Trustees, Audit Committee, Governance Committee, Risk/Investment Committee, Charitable Foundation and Senior Management meetings.
  • Serve as a resource for all inquiries from a wide variety of constituents, including providing information on Bank related activities, policies, and procedures.
  • Research and assemble materials for Board presentations.
  • Prepares Bank policies for Board approval. 
  • Coordinate and assist with planning of office activities, teleconferences, and meetings as requested.
  • Represent the CEO and Senior Management as appropriate in communicating with external contacts to respond to questions, resolve issues, and gather data as needed. 
  • Identify and resolve administrative problems and issues. 
  • Develop and recommend administrative processes and procedures to ensure efficiency.  
  •  Coordinate Bank wide charitable requests and requests for donations.
  • Creates and manages committee documents as the Diligent Board Books Lead Administrator.
  • Maintains current knowledge and consistent compliance with regulations, bank policies and procedures related to the position, including but not limited to Bank Secrecy Act (BSA) and Office of Foreign Assets Control (OFAC) requirements.


Requirements

  • Associate’s degree or equivalent; 5 to 10 years experience in a professional office environment.
  • Ability to read and interpret documents, along with the ability to write routine reports, Board minutes and correspondence.
  • Ability to communicate effectively one-on-one or in groups. 
  • Ability to respond to inquiries or complaints in a professional manner.
  • Ability to add, subtract, multiply, divide in all units of measure, using whole numbers, common fractions and decimals.
  • Must be able to compute rates and percentages.
  • Must have the ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists. 
  • Ability to interpret a variety of complex instructions furnished in written, oral, diagram, or schedule form. 
  • Must have the ability to read, analyze, and interpret financial reports and legal documents. 
  • Advanced knowledge of Microsoft Word, Excel, Power Point and Outlook required. 
  • Attention to detail and good planning, negotiation and organizational skills are essential.
  • While performing the duties of this job, the employee is regularly required to stand, walk, sit and reach for extended periods of time. 


Preferred Qualifications:

  • 5 years experience supporting Board activities including preparing meeting minutes, packets and presentations preferred.
  • Experience preferably in a financial institution.
