About the Role

We are seeing an experienced and dynamic Workplace Events Manager to join our team!  This person will plan, coordinate and execute events in our beautiful offices around San Francisco, as well as build processes to help scale our Workplace Events Program around the world.  As the Workplace Events Manager you are a special person who is both creative and scrappy, as well as detail-oriented and operations-minded.  You will partner with key cross-functional teams across the entire company to build and support a wide variety of internal and external facing events in our offices.  You will also be the main connector for our workplace support staff such as catering, AV, facilities tech.  

This role demands a proactive, creative and organized professional who thrives in a fast-paced environment and is adept at managing multiple projects simultaneously.  Experience in building and fine-tuning program processes across a wide range of stakeholders and support staff is important. This person will report directly to the Workplace Events Senior Manager. 

This role is based in San Francisco, CA and will be in office 5 days a week.

Key Responsibilities:

  • Plan, organize, and execute various workplace events, including team-building activities, company-wide meetings, and external-facing conferences.

  • Develop and refine event processes and strategies to ensure seamless execution and continuous improvement as we scale event numbers

  • Collaborate with internal stakeholders and external vendors to meet event objectives and ensure a high level of satisfaction among participants.

  • Manage budgets and timelines for events

  • Assist in scaling OpenAI’s workplace events globally by developing and documenting replicable event strategies, processes and playbooks

  • Develop event success tracking through participant feedback and other relevant metrics, making data-driven recommendations for future improvements.

You might thrive in this role if these describe your qualifications:

  • 3+ years of experience in event planning, preferably in a workplace environment 

  • Have experience organizing a wide range of events from start to finish 

  • Proactive self-starter with experience building/running processes and playbooks

  • Strong organizational and project management skills, with a proven ability to handle multiple events simultaneously 

  • Can roll up your sleeves and get things done but also be able to plan for the future and develop processes

  • Excellent communication and interpersonal skills, capable of working effectively with team members at all levels.

  • Creative thinker with a keen eye for detail and a commitment to delivering high-quality, memorable events.

  • Proficient in google calendar/docs, Asana, Notion  and other event management tools
