We are seeking a highly skilled and detail-oriented Payroll Manager to own and manage all payroll processing for both hourly and salaried U.S. employees, as well as all international payroll cycles. This role is critical in ensuring timely and accurate payroll operations, compliance with tax regulations, and seamless collaboration with internal and external stakeholders. You will also work closely with our People Team and Equity Manager to ensure that all applicable taxes related to equity compensation are applied appropriately.
Responsibilities
Own and manage end-to-end payroll processing for U.S. (hourly and salaried employees) and international payroll cycles.
Partner with the Equity Manager to process equity payroll for all equity-related transactions (i.e. RSU vestings, stock option exercises) as they occur.
Partner with the Equity Manager to ensure proper tax set up, treatment, and audit of equity-based compensation.
Monitor the brokerage corporate account and reconcile sell-to-cover transactions to ensure tax withholdings have been collected.
Ensure compliance with federal, state, and local tax regulations, as well as international payroll requirements.
Set up new state tax filings as the company expands into new jurisdictions.
Oversee EOR and all new country set-ups in accordance with country-specific employment requirements.
Handle all quarterly and year-end payroll tax reporting, including W-2s, T4s, 1099s, and other required filings.
Manage/assist with timely recording of payroll journal entries, account reconciliations and reporting.
Provide information for various audits, quarterly reviews, and the annual audit.
Conduct payroll audits to ensure accuracy and compliance.
Manage relationships with third-party payroll providers and external tax agencies.
Respond to employee payroll inquiries, ensuring a high level of service and confidentiality.
Stay up to date with changing payroll and tax regulations to mitigate compliance risks.
Qualifications
5+ years of experience managing and processing payroll, including multi-state and international payroll processing.
2+ years of equity compensation tax compliance.
2+ years of owning state tax registrations and filings.
1+ years handling international tax registrations and filings.
Strong knowledge of U.S. payroll tax laws, wage and hour laws, and payroll best practices in multiple states.
Proficiency in payroll systems (Rippling or similar platforms) and co-employment payroll providers (PEO, ASO, or EOR).
Strong attention to detail and ability to work independently in a fast-paced environment.
Excellent problem-solving, communication, and organizational skills.
