Ulan West is an established, efficient, and high production underground longwall coal mining operation in the western coalfields of NSW. With state-of-the-art mining equipment, the latest technologies, and best in class safety practices, we are leading exporters in thermal coal.

Reporting to the HR Manager, the Human Resources Administration Assistant will work closely with, and assist, the Human Resources team to support and maintain the highest standard of services and activities related to the employment lifecycle.

This will include employee payroll processing, supporting the general administrative functions related to all Ulan West Human Resources deliverables and initiatives and assisting with the day-to-day operations of the Human Resources function.

The Human Resources Administration Assistant will be responsible for several key deliverables across administration, payroll, onboarding, systems and databases, and policy & procedures, but not limited to:

  • Maintain employee personnel files and documents, across several systems and processes, to ensure exceptional record keeping and compliance.

  • Assist with the end-to-end recruitment process including phone screening, reference checking, pre-employment medicals.

  • Manage the onboarding, termination and transfer process for employees via HRIS system.

  • Processing and management of high volume, end-to-end payroll for a growing workforce of 24/7 rostered employees, with multiple payrolls over various pay cycles and payroll systems.

  • Data and system maintenance including employee set up, changes to classifications, award rate uplifts.

  • Calculation and processing of salaries, deductions, bonuses, workcover payments, child support and other payroll associated deductions/reimbursements.

  • Calculation and processing of termination payments in accordance with EBA, modern award or employment agreement.

  • Relevant qualification in Business Administration / Human Resources or similar.

  • Minimum 1-2 years’ experience in a similar HR role

  • Excellent understanding of best practice HR programs and procedures.

  • Systems experience (Knowledge of SAP, Microsoft Suite) will be highly desirable.

  • Proven ability to deliver high quality work in a fast paced, high-performance environment.
