About the Role
At Reprise Financial, we know that payroll and compliance are more than just numbers and regulations—they’re key to creating a great employee experience. As our Payroll & HR Compliance Specialist, you’ll be the go-to expert for payroll operations, ensuring accuracy, efficiency, and compliance while working as part of a dynamic HR team.
You’ll own payroll processing, multi-state tax management, and compliance tracking, ensuring that employees are paid accurately and on time while keeping up with ever-evolving regulations. Beyond payroll, you’ll play an important role in HR compliance initiatives, helping to monitor employment regulations, conduct audits, and ensure our policies stay ahead of changes.
This position reports to the SVP, Human Resources and is an integral part of the HR team, working collaboratively to optimize payroll processes, maintain compliance, and contribute to HR initiatives that enhance the employee experience.
Key Responsibilities
Payroll Management & Processing
Own and manage end-to-end payroll processing for a hybrid and remote workforce across multiple states, ensuring accuracy, timeliness, and compliance.
Maintain full compliance with federal, state, and local wage and hour laws, including overtime, deductions, tax withholdings, and payroll reporting.
Monitor and manage multi-state payroll tax registrations, including employer registrations, unemployment insurance, workers’ compensation, and payroll-related reporting requirements.
Act as the payroll system expert, preferably with ADP experience, ensuring seamless integration between payroll, benefits, and HRIS systems.
Conduct internal payroll audits, identifying discrepancies and ensuring compliance with payroll policies and tax requirements.
Prepare and submit quarterly and annual payroll filings (e.g., W-2s, 1099s) and manage payroll tax compliance.
Assist in the transition from a PEO, implementing best practices for payroll processing, compliance, and reporting.
HR Compliance & Regulatory Oversight
Track and interpret federal, state, and local labor laws, ensuring company policies and procedures remain compliant.
Monitor employment regulations, assess risks, and recommend proactive adjustments.
Own HR compliance audits, ensuring adherence to employment laws, wage and hour regulations, and record-keeping requirements.
Provide high-level support during audits and investigations, including DOL, OFCCP, and state wage and hour audits.
Manage HR compliance reporting, ensuring timely submissions of legally required documentation.
Support the implementation of remediation and corrective action plans following audits, internal reviews, or regulatory updates.
Maintain and track leave of absence programs, ensuring compliance with ADA, FMLA, and state-specific leave laws.
Skills, Knowledge, and Expertise
Bachelor’s degree in business, Human Resources, Accounting, or a related field.
5+ years of experience managing payroll in a multi-state environment, with deep knowledge of payroll tax compliance.
Experience transitioning off a PEO and setting up or optimizing payroll in a new system—ADP experience preferred.
Extensive knowledge of U.S. payroll laws and HR-related compliance, including FLSA, EEOC, ADA, FMLA, ACA, and multi-state wage and hour laws.
Strong background in payroll audits, risk assessments, and compliance reporting.
Advanced proficiency in payroll systems (ADP preferred) and Excel for payroll data management.
Fantastic communication skills—you can break down complex regulations into clear, actionable guidance for employees and leadership.
Critical thinking and problem-solving skills, with high attention to detail and discretion in handling sensitive information.
Ability to work independently while also collaborating with the HR team to drive payroll and compliance excellence.

Location
This position is fully remote, allowing you to work from anywhere that suits you best! While you’ll primarily work from home, you are always welcome to visit our office in Irving, TX, whenever you choose. We encourage our remote team members to stay connected through regular virtual meetings and team events. All team members must reside in one of our approved locations by their start date, ensuring you remain part of our collaborative community.
Compensation
For this role our salary range is $75,000 to $90,000, depending on relevant experience. This role will also be eligible to receive a variable annual bonus based on both company and individual performance.
