Job Description

Poszukujemy doświadczonego Office Managera, który będzie odpowiadał za sprawne funkcjonowanie biura oraz efektywną współpracę z działami księgowości, finansów i zakupów. Osoba na tym stanowisku odegra kluczową rolę w koordynacji procesów administracyjnych, zakupowych i komunikacyjnych, przyczyniając się do płynnego funkcjonowania firmy.

Zakres obowiązków:

Współpraca z działem księgowym i finansowym:

  • Zarządzanie dokumentacją księgową, w tym zbieranie, weryfikacja i przekazywanie faktur oraz rachunków.
  • Kontrola wydatków biurowych oraz przygotowywanie różnego rodzaju raportów finansowych.
  • Koordynacja płatności, zapewniając terminowe regulowanie zobowiązań.
  • Przygotowywanie rozliczeń i delegacji pracowników.
  • Przygotowywanie bifurkacji do faktur.

Współpraca z działem zakupów:

  • Identyfikowanie potrzeb zakupowych firmy oraz planowanie zamówień.
  • Poszukiwanie i weryfikacja dostawców, negocjowanie warunków współpracy w porozumieniu z działem zakupów.
  • Prowadzenie raportów oraz analiza kosztów.

Zarządzanie biurem:

  • Dbanie o sprawne funkcjonowanie biura – głównej siedziby w Warszawie oraz wsparcie funkcjonowania biur w dwóch pozostałych lokalizacjach (Kielce, Katowice).
  • Nadzór nad zaopatrzeniem w materiały i sprzęt biurowy.
  • Zarządzanie umowami z dostawcami oraz rejestrowanie dokumentacji.
  • Obsługa korespondencji i wsparcie administracyjne dla wszystkich działów.
  • Obsługa rozmów telefonicznych.
  • Kontakt z administracją budynku oraz obsługą techniczną.
  • Współpraca z działem IT – wydawanie sprzętu służbowego.

Inne obowiązki:

  • Wsparcie w zarządzaniu flotą samochodową.
  • Wsparcie organizacji podróży służbowych.
  • Kontakt z instytucjami i urzędami.
  • Organizacja i koordynacja spotkań firmowych.

Qualifications

  • Minimum 2-3 lata doświadczenia na podobnym stanowisku.
  • Znajomość podstawowych procesów księgowych.
  • Doskonała organizacja pracy, samodzielność i proaktywność.
  • Znajomość języka angielskiego na poziomie min. B2 (codzienna komunikacja głównie w języku angielskim).
  • Bardzo dobra znajomość pakietu MS Office, w szczególności Excela.
  • Wysoka kultura osobista i umiejętność budowania długofalowych relacji.
  • Umiejętność priorytetyzacji zadań oraz logicznego myślenia.
  • Asertywność i umiejętność podejmowania decyzji.
  • Orientacja na potrzeby firmy, z uwzględnieniem optymalizacji kosztów.
  • Elastyczność i otwartość na realizację niestandardowych zadań.
  • Zorientowanie na rozwiązania oraz podejście „da się zrobić”.

Mile widziane:

  • Znajomość procesów zakupowych.
  • Wiedza z zakresu finansów.
  • Doświadczenie w pracy w dużej organizacji.
  • Znajomość specyfiki współpracy z międzynarodowymi zespołami.
