Front Office Assistant

Job Summary

The Front Office Assistant is responsible for a variety of clerical and administrative tasks in support of business operations within the company as well as providing backup coverage for clerical and reception as needed. This person is also responsible for preparing, scanning, and indexing incoming documents, into the appropriate systems, on a daily basis, with the highest level of quality. This role is onsite, Monday through Friday.

Essential Functions and Tasks

  • Answers and transfers phone calls, screening when necessary.
  • Welcomes and directs visitors and clients.
  • Prepare, sort, and scan specialty client correspondence.
  • Provide backup support for other clerical staff.
  • Assist with maintaining and stocking of conference rooms, café, coffee bars and print stations. 
  • Prepare outgoing mail.
  • Research unidentified correspondence in the appropriate system.
  • Maintain BRM Account.
  • Creating, preparing and printing of address labels.
  • Sort, scan, and file incoming correspondence for BRM Account.
  • Prepare and send envelopes to clients.
  • Sort and deliver faxes as addressed.
  • Deliver all incoming UPS and FedEx packages as addressed.
  • Shred correspondence as needed.
  • Perform other related duties as assigned.  

Education and Experience Requirements

  • High school diploma or equivalent required.
  • Previous clerical experience preferred, but not required.

  • The ability to concentrate for long periods of time.
