Job Summary
The Program Development Coordinator, Organizational Development (OD) supports the development, piloting, and continuous improvement of OD programs withing the Faculty of Medicine (FoM)This position contributes to the planning, research, and coordination of program activities to advance the Faculty’s organizational development goals while ensuring alignment with the Faculty’s and University’s Strategic Plan.

The Facultycomprised of approximately 2,200 administrative support, technical/research and management and professional staff, as well approximately 650 full-time academic and over 10,000 clinical faculty members—is composed of 19 academic basic science and/or clinical departments, 3 schools, and 25 research centres and institutes. Together with its University and Health Authority partners, the Faculty delivers innovative programs and conducts research in the areas of health and life sciences. Faculty, staff and trainees are located at university campuses, clinical academic campuses in hospital settings and other regionally based centres across the province.  

The UBC Vancouver Campus is located on the traditional, ancestral, and unceded territory of the xʷməθkʷəy̓əm (Musqueam) people. The City of Vancouver is located on Musqueam, Squamish, and Tsleil-Waututh First Nations territory. 

This position works directly with Organizational Development Manager and works closely with Senior Human Resources Manager and Director, Human Resources. The Program Development Coordinator will work collaboratively with planning team members, program sponsors ,cross-functional teams and affiliated stakeholders to effectively deliver programs. 


Work Performed

Contributes to the piloting and refinement of programs, ensuring alignment with the organization’s strategic objectives. 

Conducts research and stakeholder analysis to identify opportunities for program development and continuous improvement. 

Creates standard operating procedures to support the effective implementation and long-term sustainability of programs.  

Assesses and refines programs during both the pilot phase and ongoing delivery, identifying improvements to content, structure, and operations to enhance effectiveness, efficiency, and participant experience.  

Supports the design, implementation, and analysis of evaluation tools to measure program effectiveness and inform future iterations. 

Collaborates with program management team to assess feedback from new and existing programs, conducting research and contributing to program modifications that improve outcomes. 

Evaluates and recommends process efficiencies to streamline program delivery reducing administrative burden while maintaining quality. 

Collaborates with the Creative & Communications team to develop marketing and communications materials for program outreach across multiple channels; aligning messaging, enhancing outreach and leveraging university- and faculty-wide communication platforms 

Develops and executes recruitment strategies to attract program participants. Manages and develops the application adjudication process. 

Supports participants throughout their program experience, fostering an engaging and inclusive learning environment. Provides clear guidance, timely communication, and responsive support to enhance their overall experience 

Manages online learning spaces for the programs, ensuring content is relevant, accessible, and aligned with the learning needs of participants. Coordinates and contributes to the creation of videos and implementation of other learning tools.  

Develops program timelines and manages logistics for virtual, in-person and blended offerings of programs and holds the focus for the day-to-day program management needs of programs in development 

Participates in planning meetings, meetings with advisors, subject matter experts, and facilitators as required. Coordinates and supports the implementation of decisions and goals for programs. 

Continuously develops expertise by staying current with best practices in program design, learning effectiveness, and operational efficiency to inform ongoing improvements. 

Performs other duties as required.

Work requires judgment and initiative. Makes decisions that impact the success of projects that are vital to achieving the Faculty’s strategic objectives. Failure to accurately assess client needs, exercise appropriate judgement and foresight may impact the Faculty’s and departments ability to achieve its strategic direction or goals in a cost effective manner. 

Supervision Received
Works directly with and reports to the Organizational Development Manager. 

Supervision Given
Provides functional supervision of the work of students and other staff that may contribute to the delivery of the leadership programs and learning events. 

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of two to three years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications

Working knowledge of adult education and leadership development programming.  

An understanding and/or interest in University culture, learning, and a balance of creative, technical, analytical and social/interpersonal skills. 

Demonstrated working knowledge of website development, and communications product development. Ability to use content management software (Wordpress preferred) for website updates/editing. Ability to use learn and learn a variety of Learning Management Systems.  

Demonstrated design experience in print and web or the ability to manage a communication/marketing plan. 

Experience with public speaking before large and small groups. 

Excellent communication skills. Ability to adapt writing styles for various purposes and audiences. 

Ability to take initiative, organize, prioritize and work effectively under pressure to meet deadlines and effectively manage multiple tasks and priorities.  

Ability to exercise tact, discretion, and judgment required 

Ability to analyze problems, identify key information and issues, change data into information and effectively find resolution. 

Ability to work effectively and collaboratively with others, demonstrates effective intercultural communication skills, and deal professionally and diplomatically with faculty, staff, students and the general public.  

Demonstrate capacity for innovation, idea generation, research, and project management. 

Ability to synthesize academic and gray literature, interpret evaluation data, distill key insights, and effectively communicate findings and make recommendations. 

Proven ability to be flexible, adaptable and self-motivated. 

Intermediate computer skills, including the use of MS Office software (Word, Excel, Outlook and SharePoint).
