Event Coordinator - Seasonal

THE ROLE: 

FloSports is seeking a highly organized and detail-oriented Event Coordinator to support the planning and execution of our Owned & Operated (O&O) events. This role will focus on event logistics, vendor coordination, marketing support, and on-site execution to ensure seamless operations and an exceptional experience for participants, staff, and attendees.

RESPONSIBILITIES: 

  • Assist in planning and executing FloSports' Owned & Operated events, ensuring alignment with company goals and objectives.

    • WNO - Top professional jiu-jitsu event series

    • FloRacing Night in America - Leading midweek late model dirt series

    • As well as large track & field events, wrestling and more! 

  • Support event budgeting, tracking expenses, and ensuring cost-effective execution.

  • Coordinate venue selection, vendor negotiations, and service contracts (e.g., catering, AV, logistics).

  • Manage event logistics, including transportation, accommodations, registration, and credentialing.

  • Collaborate with internal teams (Marketing, Content, and Production) to develop and execute event promotion and ticket sales strategies.

  • Oversee event setup, execution, and breakdown, ensuring smooth day-of operations.

  • Manage event staff, volunteers, and partner relationships to ensure high-quality event delivery.

  • Support post-event evaluations by gathering feedback, assessing key learnings, and making recommendations for future improvements.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Bachelor’s degree in Event Management, Hospitality, Sports Management, or a related field (preferred).

  • 3–5 years of experience in event planning, coordination, or operations.

  • Strong organizational and time-management skills, with the ability to handle multiple tasks simultaneously.

  • Excellent communication and interpersonal skills, with the ability to work cross-functionally.

  • Creativity, problem-solving skills, and a proactive approach to challenges.

  • Proficiency in Microsoft Office, Google Workspace, and project management tools (e.g., Monday.com, Trello, or Asana).

  • Experience with sports events, live production, or ticketing platforms is a plus.

  • Ability to work evenings, weekends, and travel as needed for event execution.

Additional Information:

  • This is a seasonal position (30 hours/week) with a flexible work arrangement.

  • Duration: 4 Months (April – July 2025)

  • Travel and on-site presence will be required for event execution.

  • The contractor will report to the Owned Events Team at FloSports.
